Summary
The Marin School, an independent college-preparatory high school in San Rafael, California, seeks a part-time Human Resources Coordinator.
The Marin School serves approximately 80 students in grades 9-12. Human Resources Coordinator
The Human Resources Coordinator is an important position at The Marin School, and is responsible for all Human Resource related items at the school. As a small school, we are looking for someone who will engage with the members or our community, provide support to our employees as needed and help make sure we “follow the HR rules”. The person in this position will work closely with the Director of Finance to assure that all HR related tasks are completed. They will also participate in the weekly meeting with the Dir of Finance and Head of School to report and answer any questions on HR related matters.
The duties of the Human Resources Coordinator include but are not limited to the following:
- Payroll - handle all aspects of processing monthly payroll

- Handle all aspects of the open enrollment process and any changes to benefits outside of open enrollment. Renewal date is January 1
- Reconcile and approve benefit related invoices
- Manage employee leave of absence process to ensure compliance with federal, state, and local laws
- Handle all employee leaves including coordination with payroll
- Track vacation and sick time
- Assist with payroll and benefits analysis associated with creating the annual budget and the ongoing Budget to Projection reports for the Finance Committee

- Create//update job descriptions as needed
- Post open positions and assist with recruiting, interviewing, and hiring
- Assure that all employees are property onboarded
- Conduct exit interviews for departing employees and prepare final paycheck andCOBRA information as applicable
- Handbooks - Annually review and update the Employee Handbook. Assure that it coincides with the Faculty and Staff Handbook. Answer employee questions regarding the School’s personnel policies and procedures, the Employee Handbook and personnel forms. Work with the school’s attorney in periodic updates to the Employee Handbook.
- Employment Regulations - Develop, implement and maintain effective compliance with applicable employment regulations, including employee training
- Employee Agreements/Files - Create all annual employment agreements and assure that they are completed by employees. Maintain confidential human resource files and records
- Employee Relations - Assist with the handling of any issues that arise between employees. Consult with administrators and employees to resolve personnel issues
- Audit - Prepare audit schedules that relate to employees and payroll
- Surveys - Collect and analyze human resource data for internal and external reporting, In the Fall, complete employee related data requested for the NAIS DASL, Cal-ISBOA and CAIS surveys
- Meeting Attendance - Weekly meeting with Head of School and Director of Finance as needed per agenda

Qualifications
- Bachelor’s degree and/or PHR/SPHR or equivalent combination of education and experience
- At least three (3) years of experience in Human Resources, preferably at an independent school
- Working knowledge of human resource principles, procedures and practices
- Kind, thoughtful, and effective communicator, willing to support people at all levels in the organization; and strong interpersonal skills
- Well-developed business ethics and the ability to maintain a high level of discretion
- Ability to effectively deal with multiple priorities, functions and activities
- Working knowledge of basic business and payroll software and Google suite. Experience using Paychex software is a plus.
- Strong written and verbal communication skills, and attention to detail.
