Position Summary
This position serves as the HR Operations Records Specialist and is the subject matter expert, functioning as the primary source of information for departments regarding appointments and payroll/policies and procedures.
Job Description
Primary Duties and Responsibilities
- Complete scheduled payroll processing tasks.
- Confirm compensation amounts and update sourcing data as required.
- Manage Time and Labor processes, including maintaining student task assignments and confirm hours worked transition correctly to paysheets from Time and Labor for biweekly staff and students.
- Run exception reports and resolve exception instances.
- Run bi-weekly and monthly paysheet notification/confirmation reports and review for accuracy and completeness, resolve issues as required.
- Process manual check requests and payroll cost transfers as needed.
- Complete onboarding process for employees and non-employees.
- Process postings for staff positions in Workday.
- Enter and approve new hire, non-employee and stipend recipient appointments, and ensure I-9 verification and submissions are completed (as applicable).
- Provide training on Time and Labor reporting and employee self-service functions of Workday.
- Provide resources and information to new hires and arrange for appropriate security access to be granted.
- Process other online transactions in Workday: enter and approve data changes, additional pay items, academic year pay pages, transfers, and terminations.
- Update the Workday Salary Planning module for annual merit increases and enter annual stipend level updates for students and post-docs in Workday.
- Coordinate Leaves of Absence in Workday; work with departments and employees to complete required FMLA and non-FMLA leave paperwork for submission; enter and approve all leave-related transactions in Workday; track utilization of accrued paid time off for staff to ensure appropriate transitions from paid to non-paid leave status.
- Assist in generating personnel/payroll reports and auditing services as required.
- Ensure consistency of HR practices and adherence to university policies and procedures.
- Maintain a thorough up to date knowledge of policies and procedures, including the Universityâ™s statement of internal controls and federal, state, local and foreign national payroll rules and regulations.
Preferred Qualifications
- Bachelorâ™s degree in accounting and five years of experience with human resources, payroll and financial transactions in an academic environment.
- Experience with Workday and Washington University financial transaction and reporting systems.
- Demonstrated ability to modify oneâ™s own behavioral style to interact successfully with faculty, staff and students (at all levels) in a fast paced environment, sometimes under pressure, and respond to their needs with a high level of professionalism.
- Effective customer service skills.
- Effective verbal, written and interpersonal communications skills.
- Service-oriented communicator who is a true team player actively invested in the mission of the Shared Services Center and ensuring its goals are met.
- Demonstrated accounting, analytical, and problem-solving skills; strong organizational skills and the ability to work independently.
- Ability to manage and prioritize multiple tasks and deadlines while maintaining a high level of attention to detail.
- Ability to efficiently manage a high volume workload.
- Ability to exercise judgment and take corrective action.
- Ability to responsibly handle confidential information.
Required Qualifications
- High school diploma or equivalent high school certification and a minimum of three years of experience with human resources, payroll and financial transactions, or a bachelorâ™s degree in accounting, finance, business or a related field may substitute for experience.
- Excellent computer and organizational skills.
- Knowledge of financial systems.
- Experience with Microsoft Excel and Word.

Salary Range
$21.60 - $33.45 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
