The Johns Hopkins All Children?s Hospital, Office of the Vice Dean, is seeking a Sr. HR Coordinator who will be responsible for HR support that goes beyond routine and will serve as the primary point of contact for department/divisional personnel/payroll activities. This position will partner with departmental and central HR leaders to interpret HR policy and procedures and work with senior management to establish departmental/divisional practice within JHU guidelines. The department currently includes over one hundred employees including staff, students, postdocs and faculty at St. Petersburg, Florida campus as well as a team in East Baltimore. This hybrid position will be located in the Florida office.
Specific Duties & Responsibilities
Develop and review job descriptions with supervisor/manager/faculty and suggest changes based on understanding of area and need. Submit position requests through the required divisional review and approval workflow.
Upon financial approval, submit requisition to JHU Jobs and ensure accurate posting.
May do preliminary candidate interviews and collaborate with Talent Acquisition and Compensation staff to facilitate the hiring process.
Support pre-boarding and orientation activities for all new hires, faculty and post docs.
Participate in creating/developing department/divisional orientations. May deliver training.
Facilitate general human resources questions for the department and escalate concerns or more complex inquiries for central support and resolution.
Provide guidance and make recommendations on appropriate starting salaries and promotional salaries for faculty and staff to ensure equity, in collaboration with the HR-Compensation team.
Completes time sensitive transactional and operational activities, data entry and payroll submission. Support departmental review and approval process related to time off, E210 management, overtime payments, timely terminations and transaction processing and other payroll and leave related logistics.
Ensure payroll system and new hire data accuracy. Runs monthly transaction, payroll, and staff reports to review for accuracy, provide reports to leaders and assist with budget data.
Assist and advise employees on tax information, sick time, vacation time, holidays, leave of absence, family medical leave, payroll, tuition reimbursement, flexible fringe benefits, deductions, etc.
Responsible for coordinating initial departmental efforts related to staff that require Family Medical Leave (FMLA) and Short-Term Disability (STD Parental leave and Birth Recovery Leave. Will work with divisional administration, supervisors, and SOM and JHHS HR representatives on submission of paperwork related to this area.
Work with departmental HR, administrative and finance leaders to coordinate the annual performance review process. Use guidelines to determine annual increases and communicate changes to staff.
Triage employee relations concerns or HR cases. Support departmental leaders with general employee relations needs, including gathering information to support investigations, performance improvement challenges and all related employee management efforts. Responsible employee reporting; and related investigative resources.
Coordinate visa process for international faculty, fellows, and staff. Resolve visa and credentialing issues.
Provide general HR guidance to managers and staff within the department or designated area of responsibility.
Perform other related duties as requested.
Additional Knowledge, Skills and Abilities
Strong computer skills to include proficiency in: Microsoft Suite (Word, Outlook, Excel, PowerPoint, Access), Adobe professional, SAP, and routine internet usage.
Physical Requirements
Sitting in a normal seated position for extended periods.
Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
Occasionally lifting, carrying objects weighing 10lbs. or less.
Occasionally pushing and pulling objects weighing 30lbs. or less.
Minimum Qualifications
Bachelor's Degree in Human Resources, Business Administration, or other related field.
Three years related experience.
Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Strong knowledge of HR regulations and JHU personnel policies.
Knowledge of SAP a plus.
