The Human Resources Associate (HRA) reports to the Director of Human Resources for the Graduate School of Business (GSB), and in coordination with fellow HRA, is responsible for the human resources administrative functions for the School. The HRA provides human resource services and is often the first point of contact for inquiries from the 490+ GSB staff on human resources policies, procedures and practices. The HRA also provides transactional management and interfaces with the University Human Resource's Transactions (HRT) team and provides a wide range of support to the HR Director and Associate HR Directors (HRMs).
The HRA will act as a resource and first point of contact on most HR issues. Keep HRMs informed on new issues, resolve basic issues, and refer complex and/or high risk issues to the HRM for resolution. Interpret HR policies and explain HR processes and procedures to staff.
Your primary responsibilities include:
Employment and Staffing Support
Coordinate the recruitment process, including job postings, and applicant disposition with hiring managers, human resources staff, and/or supervisors.
Prepare offer letters and new employee packets for new staff.
Manage new hire administration to include I-9 compliance.
Generate various employment letters from established templates.
Create and maintain personnel files.
Serve as a contact with the Stanford Disability & Leave Services (DLS) team and help clarify questions concerning employees on leave.
Oversee and/or approve human resource transactions submitted for processing.
Assist in the process for workers' compensation, disability, leave, and work accommodation requests; consult with managers, HRM or director as needed.
Manage the exit process including exit checklist, final (termination) check, HRIS changes (for transfers).
Time and Leave Administration
Co-manage the Time and Leave Administration process for the GSB. Serve as time and leave administrator (TLA) for exempt and non-exempt timecards.
Coordinate end of pay period leave processing ensuring that employee time reporting and recordkeeping is in compliance with applicable wage and hour laws and regulations.
Refer discrepancies and complex issues to appropriate HRM for assistance in addressing the issues.
Make corrections (pay adjustments) to the employee timecard to accurately reflect actual time taken and hours worked as requested by individual employees.
General HR Support
Provide timely communications to staff including the regular staff updates (departures, new hires, etc.).
Manage and distribute monthly HR newsletter.
Manage the GSB HR website by acting as a web author and processing regular updates.
Maintenance of staff restricted distribution email list.
Identify, develop and implement improvements to internal HR policies and procedures, participate in the planning processes and promote best practices within the organization.
Assist in the coordination of annual employee events including the Ice Cream Social and end of the year Holiday Reception.
Frequent collaboration with other departments within the GSB.
Act as the back-up for the preparation of scheduled and ad hoc reports in BI; analyze data available through local and centralized data resources.
Serve as the department PCard custodian including reimbursements (Oracle and iOU)
Act as back-up for the GSB and UHR employee recognition programs.
Be flexible to completing any other additional assigned duties.
To be successful in this position, you will bring:
Associate degree and two years of relevant experience, or a combination of education and relevant experience.
Strong attention to detail and accuracy.
Ability to learn and apply general human resources policies using problem solving skills.
Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion.
Ability to consistently follow through with projects and assignments and meet deadlines.
Excellent oral and written communication skills.
Strong and effective interpersonal and customer service skills.
Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel, and PowerPoint). Familiarity with human resource management systems, such as PeopleSoft and time/leave systems. Experience using email and internet.
