The School of Law is seeking an HR Assistant to provide support in a variety of HR functions.
Reporting to the Manager of HR Administration, the HR Assistant supports the day-to-day HR transactions within the School of Law. This includes assisting hiring managers through hiring, onboarding, and offboarding, as well as assisting with the performance appraisal and merit process. This also includes providing guidance and expertise to employees on human resources related topics and serving as an intermediary between managers, new hires, and University Human Resources to support areas such as hiring, data, benefits, payroll, compliance, time tracking, etc.
The primary work location for this position is the Boston, MA campus. This position currently operates under a hybrid model, requiring a combination of on-campus presence along with a remote work option. The specific work schedule will be dependent upon the operational needs of the College, and the hybrid model is subject to change based on business needs and college and university policies and guidance.
Responsibilities:
Human Resources Activities:
Serve as the local HR knowledge resource for employees throughout all aspects of the employee lifecycle, such as preparing and posting job descriptions, recruiting, onboarding, development, performance management, retention and offboarding. This also applies to non-paid appointments such as affiliate appointments and visiting scholars/students.
Provide guidance and transactional support to employees (e.g. managers, faculty, staff) on HR matters (e.g., staffing, promotions, etc.) and serve as an intermediary between employees and Human resources to support areas such as hiring, data, benefits, payroll, compliance, time tracking, etc.
Serve as the college's SEVIS contact, coordinate the Exchange Visitor Process (EVP) and process J-1 visas for these appointments
HR Compliance & Reporting
Securely and efficiently manage and maintain all HR personnel files and records in accordance with University policies and procedures
Ensures accurate, efficient, and timely processing of HR-related transactions (e.g., following up and coordinating with approvers).
Respond to requests for HR related data and prepare/distribute relevant reports.
Track and monitor HR related data and tasks, such as the part-time faculty database and appointments (e.g. end dates for grant funded appointments, Temporary Non-students, etc.)
Identify and report on HR trends impacting the unit ( e.g. conduct exit interviews and compile and analyze exit interview feedback into themes for HRBPs and unit leadership).
Special Projects & Process Improvement
Participates in a variety of special projects, initiatives and other assignments that improve the candidate experience, employee experience and/or the level of services delivered to the University.
Identify and offers recommendations to the team for areas of improvement.
Create new process documentation, workflows, and guides for a variety of audiences.
Qualifications:
Required Qualifications:
Knowledge and skills typically obtained through a related bachelor's degree or equivalent and at least two years of service, preferably in higher education.
Demonstrated ability to think critically and quickly grasp/apply new concepts.
Exceptional organizational skills with the ability to organize time and priorities, including multiple tasks and deadline pressures.
Excellent verbal and written communication with strong proofreading, attention to detail, and follow-through skills.
Demonstrated interpersonal skills with excellent verbal and written communication skills and a strong customer service focus, as well as the ability to collaborate and communicate effectively across all levels of the organization.
Demonstrated adaptability and ability to navigate and de-escalate challenging situations.
Familiarity with human resources policies/procedures, programs, and related employment laws. Demonstrated ability to handle sensitive and confidential matters.
Excellent working knowledge of Microsoft Office Suite and demonstrated ability to learn new software

Preferred Qualifications:
Working knowledge of Workday or other human capital management software
