Position Description: Under the general direction of the Human Resources and Payroll Manager, manage the administration of all personnel and payroll actions for over 250 staff and academic members within the International Institute and all of its centers. The International Institute is comprised of over 25 centers, programs, Institutes, and IDPs. Primary duties include managing all aspects of the Visiting Scholars process for 75-100 visitors annually, coordinating the hiring and payment process for the International Institute's summer institutes, processing personnel actions for academic, academic apprentice, and staff titles, including new hires, reappointments, merits, promotions, stipends, leaves and time reporting. This includes being responsible for maintaining accurate and current personnel information; assisting in the development and implementation of administrative and operational process and procedures to improve efficiency and productivity; developing departmental resources and trainings; and creating internal staffing reports for various uses. Advise all levels of center director, managers/supervisors on employee and labor policies, procedures, and best practices. Use OPUS to track faculty actions and UC Recruit to track faculty searches. Additional duties include personnel/payroll data analysis and processing, overseeing the academic and staff recruitment process, academic/staff personnel administration and managing postdoctoral fellow appointments. Serve as one of the primary payroll processors for the Institute, using the UCPath system to process personnel and payroll actions for all academic and staff employees. This position also serves as one of the benefits representatives for the International Institute. Serve as a liaison for personnel matters with various campus academic departments and professional schools, UCLA CRU, UCPath Center, Graduate Division, Summer Sessions Office, and Dashew Center for International Students and Scholars. This position also serves as back-up to the Human Resources and Payroll Manager. The incumbent must be able to interpret policy, take initiative, make good judgement, and independently prioritize work while maintaining confidentiality.
