Under general supervision, the incumbent will work as a Department of Psychiatry Human Resources Assistant providing general administrative support to the central Business Offices in the Department of Psychiatry. The administrative assistant supports a fast-paced work environment, and daily responsibilities as needed. Day-to-day business operations include, but not limited to, maintaining and purchasing office supplies, assisting with submitting hiring requests to central offices, coordinating initial visa applications, maintaining and updating telephone directory both for the academic and staff employees on a regular basis, reviewing and auditing NGN communications access billing; updating departmental hiring request forms in PDF format; using various UCSD online products such as UCPath, HHR website, HS Academic Resources Web Portal, Student Career Services TritonLink, MyPayments, Marketplace, Concur etc. for various requests. Maintain databases and generate various reports as required. Perform all the other duties and responsibilities as required.
MINIMUM QUALIFICATIONS
Excellent organizational skills; ability to work on projects with competing deadlines and to establish goals and workload priorities; flexibility in dealing with people and competing demands.
Demonstrated understanding of basic accounting principles. Demonstrated math skills to calculate travel, purchase orders, budgets, etc.
Proficient computer skills using PC and Macintosh, Word, Excel, PowerPoint, Adobe Acrobat, PDF, etc.
Strong interpersonal skills, including tact, diplomacy, and flexibility. Strong written and oral communication skills to communicate ideas and issues clearly, concisely and accurately. Ability to interact effectively with a diversity of people at all levels within the University and externally to promote positive working relationships and to achieve the organization's goals and objectives.
Excellent analytical and problem-solving skills with ability to analyze situations, identify existing or potential problems, recommend solutions, determine and implement procedures to accomplish effective resolution.
Good acumen and solid understanding of personnel policies and procedures pertaining to various personnel actions; proven ability to assist with submitting hiring requests to central offices and proven ability to follow up on requests until completion
Working knowledge of personnel policies and procedures governing staff and student personnel.
Proven ability to assist with coordinating initial visa applications.
Strong problem solving and decision making skills.
Proven organizational skills and track record in helping with maintaining and updating telephone directory both for the academic and staff employees on a regular basis.
