This position works a hybrid in-office schedule, generally a minimum of two days in the office per week, with initial training conducted in-office. Additionally, candidate must live within a commutable distance.
The wage range for this position is $22.00 - $23.54 per hour depending upon qualifications and is non-negotiable.
Under the general supervision of the HRIS Transaction Supervisor, the HR Transaction Assistant supports the Transaction Team with daily processing of transactions related to employment, payroll data, and benefit elections / deductions for new hires, updates as well as terminations. The HR Transaction Assistant is also responsible for assigning and monitoring compliance training, accurately creating, organizing, and maintaining confidential and sensitive documents within our document management system, and generating reports.
Responsibilities HR Transaction Support: 35%
Perform tasks to support the daily processing of confidential employment and benefit data transactions for new hires, updates and terminations.
Reviewing personnel transactions from multiple systems to ensure accuracy and to maintain data integrity and consistency.
Provide HR Transaction support including basic data entry into Banner.
Run and analyze pre-payroll reports to ensure proper payments for active and separating staff.
Monitor various audit reports for data entry discrepancies and position maintenance to ensure timeliness and accuracy.
Assist in processing additional compensation requests for active Research Foundation staff.
Updating supervisors in Banner to ensure WorkForce has correct supervisors to approve employees' time reports.
Monitor various audit reports for data entry discrepancies and position maintenance to ensure timeliness and accuracy.
Process hourly termination separations.
Assist Transaction Team in compiling data and files to meet internal/external auditor document requests.
Support Person of Interest (POI) feed process, reach out to campus contacts to ensure accurate and timely SDSUID generation.
Create and maintain process and procedure documentation.
CSU Learn - Compliance Training System Support: 25%
Assign CSU Learn mandatory and compliance training for new and existing employees.
Monitor for training completion.
Respond to inquiries related to CSU Learn access.
Run training reports and maintain spreadsheets to track assignment and employee progress as needed.
Filing and Etrieve System Support: 25%
Accurately create, organize, and maintain all employee electronic and physical files.
Maintain confidential personnel files in compliance with applicable legal requirements.
Prepare and upload physical and digital HR documents into the Etrieve document management system.
Audit electronic files for accuracy for uploading into the Etrieve system.
Other Duties & Responsibilities as Assigned: 15%
Assist in running, developing and creating HR reports including but not limited to regulatory reporting requests from Labor Board and other external agencies, HR Banner GWAOREP report conversion to MyRF reporting tool.
Perform other duties, special projects and responsibilities within the HR department.
Perform additional filing and follow-up administrative tasks.
Qualifications MINIMUM EDUCATION
High school diploma
MINIMUM EXPERIENCE
Previous experience in an office or administrative environment
DESIRED QUALIFICATIONS
Bachelors degree in Human Resources or a related field
Intermediate to advanced proficiency in Microsoft Excel
Experience working with confidential data
Experience building, running and analyzing reports
