The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
With dual reporting to Department of Population Family Health (PFH) and the MSPH Office of Faculty and Human Resources, the Associate Director, supports the Department of Population Family Health (PFH) by managing specific faculty and human resources functions of the unit and ensuring the implementation of best practices for human resources and faculty affairs policies and procedures for the department.
Responsibilities
Assisting the Chair and Department leadership with the annual performance review and merit process;
Assisting the Chair and Vice Chair for Faculty Affairs on faculty 4th year review and tenure process;
Managing faculty job postings by updating information in the Academic Search & Recruitment (ASR), disseminating access to CVs to hiring managers, and processing new faculty hires;
Overseeing all payroll responsibilities for the Department of PFH, including working with other University departments to process additional compensation requests, managing the seasonal part-time faculty rosters, and coordinating with MSPH F/HR to ensure accurate payroll submissions for hourly employees;
Processing appointments of Faculty, Graduate Research Assistants and Students by working closely with the MSPH F/HR, Office of Education and PFH faculty and staff, corresponding with candidates to receive all relevant information, and drafting various required letters for the Chair???s signature;
Responsible for creating and maintaining an electronic record keeping database and a Sharepoint resource for PFH faculty, staff and students;
Working collaboratively with MSPH Faculty and HR Office, in addition to CUIMC Payroll, to address and solve any payroll and appointment issues;
Handling medical leaves of absence by working with MSPH HR and University Leaves Department, ensuring all relevant documentation is completed, monitoring Family Medical Leave hours, and tracking and processing return-to-work dates;
Monitoring timelines for academic appointments and visa end dates to ensure timely notices of termination and/or visa renewals for employees and visitors to the University;
Managing one Faculty and Human Resources Coordinator, providing training, mentorship and guidance in all Faculty and HR functions;
Developing and analyzing job descriptions for new administrative staff positions, supervising the HR staff in processing new hires, and orienting new employees to PFH;
Implementing an increased HR presence throughout the recruiting process for staff by screening resumes, conducting phone and in-person interviews, handling reference checks, and meeting with interview panels to discuss applicants;
Supervising the HR Coordinator in the monthly tracking of time off, including following up on incorrect submissions to assure adherence to University guidelines;
Researching and scheduling internal and external training seminars for employees to support an enhanced training program for PFH employees;
Counseling faculty and staff by explaining specific policies and procedures as necessary;
Providing consultation regarding employee relations when necessary; and
Performing other related projects as needed and assigned.
Minimum Qualifications
Requires a bachelor???s degree or equivalent in education and experience, plus four (4) years of related experience.
The successful candidate will have a passion for Faculty Affairs Human Resources and a strong working knowledge of HR best practices.
Exceptional communication skills, both oral and written, are essential, as well as a strong attention to detail. The incumbent must be able to prioritize responsibilities and work well in a fast-paced environment. S/He must have the ability to work independently and as part of a team, and exercise discretion and sound judgment in dealing with confidential employment matters and information. A strong working knowledge of Microsoft Word, Excel and PowerPoint is essential.
Preferred Requirements
Knowledge of Columbia University systems, policies and procedures is a plus for this role.
Human Resources certification (SHRM or HRCI).
