The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary
Reporting jointly to the Senior Directors, the Associate Director, Operations will provide a functional backbone to a complex HR office responsible for all instructional, administrative, research, and student appointments at Columbia Business School. The Associate Director will be responsible for critical processing as well as record maintenance and data governance. The Associate Director, Operations is responsible for working independently and strategically managing the various initiatives and activities of the Human Resources department, working to ensure smooth operations, efficiency, effectiveness, and success, while exercising discretion and judgment in performing a wide variety of duties.
The Associate Director, Operations responds to all inquiries in a timely and efficient manner and exemplifies the customer service values and standards representative of CBS and service commitment of the Human Resources department.
Responsibilities
Develop and carry out best practices to ensure the streamlined hiring processing for all new hires at CBS.
Develop and generate regular reports from systems of record to guide both operations and compliance across the HR function.
Work with the University to initiate and follow up on background checks for students. Serves as backup for administrative hires.
Complete all job action paperwork and system data entry, whether automated or manual, including academic and administrative hiring documents. Updates and reconciles spreadsheets as required, working closely with HRPC.
Work with the Associate Director, student appointments to monitor casual employee hours and employment duration to ensure compliance with university policies, and proactively alerts the appropriate stakeholders.
Collect and analyze data for the Human Resources department on areas including, but not limited to, academic and administrative headcount, recruitment, onboarding, offboarding and diversity metrics.
Review and initiate additional compensation requests for the HR department. Ensure accuracy of requests relating to financial information, period and scope of work, paying close attention to students??? appointment end dates.
Generate weekly PAC reports on academic and administrative hires. Troubleshoots and resolves discrepancies, and sends related confirmation to employees, including Executive Education status checks.
Perform additional tasks as requested.
Minimum Qualifications
Bachelor???s degree and/or its equivalent required. 3-5 years of related experience required.
Must have previous experience supporting academic needs. Must be able to work well independently as well as part of a team and have the ability to exercise discretion and judgment with time sensitive and confidential matters is essential. Must have excellent interpersonal, organizational and communication skills. Must be able to be calm under times of high volume. Must be able to exercise cooperation, tact and discretion when interacting with faculty, administrators, and students. The ability to understand and interpret policy and procedures is required; attention to detail, ability to handle and prioritize multiple tasks and work well under deadlines while providing exemplary customer service. Must be able to work extended hours and weekends during peak and heavy processing periods. Demonstrated proficiency in computer/technical skills, Microsoft Office, particularly in the creation of spreadsheets and the use of databases required. Prior Human Resources experience necessary. A confidentiality agreement will be required.
Preferred Qualifications
Familiarity with PAC, event management, and knowledge of Columbia University Human Resources policies and procedures desired. SHRM certification is highly preferred.
