Job Summary:
The Coordinator II will support the Office of Facilities Management as a timekeeper, reviewing and comparing TCP software data accuracy for bi-weekly and monthly payrolls. Support administering and coordinating onboarding and offboarding processes.
Essential Duties:
Serve as a Timekeeper. Reviewing TCP timesheets and calculate hours worked for nearly 230 employees to determine overtime, straight-time, and on-call payments to ensure accuracy of payments and compensatory time credits for employees operating on non-traditional 24/7 work schedules. Determine cost centers to charge using a work order system. Prepare and submit payroll vouchers for straight comp, on-call, and vacation payouts.
Administer all pre-employment activities for new hires, which includes coordinating job posts, requesting criminal background investigations. Preparing or updating employment records related to hiring, transferring, and promoting. Ensuring new hire paperwork is completed and processed.
Coordinate with new hires and Hiring Managers to ensure a smooth on-boarding experience for our new hires. Organize and deliver training to supervisors and hiring managers regarding institutional policies and hiring procedures. Providing new hires with details about the company, including a welcome message, new employee paperwork session, parking information, work schedules, compliance training and dress codes. Introducing new hires to their team members.
Administer the departmental employee separation process. Preparing or updating employment records related to terminating. Ensuring termination paperwork is completed and processed.
Update and maintain Facilities Management organization charts, job descriptions, interview questions and employee reporting group spreadsheets.
Assist in preparing and submitting personal action employment documents and e-forms. Assist with hiring, supervising, and delegating assigned tasks to student workers.
Serve as a backup to assist in maintaining record keeping involved with personnel including performance reviews, continuing education, license renewal and expiration of required credentials.
Serve as a backup to consulting with the Environmental Health and Safety office on employee accident reports, leave balances, etc. regarding Workers Compensation claims, and maintain accurate and confidential records of all claims and dispositions.
Perform other duties or special projects as required or assigned.
Required Qualifications:
Bachelor's degree or associate degree in Business Management, Human Resources, or a related field. Excellent customer service with superior inter-personal communication skills with dedication to build and strengthen relationships with candidates and colleagues.
Resourceful, detail-oriented individual and skilled problem solver.

Experience in payroll administration/practices and knowledge of payroll laws and regulations.
Experience with high-volume hiring (managing new hire employment verification, background checks, etc.) is a plus.
Familiarity with payroll software.
Experience utilizing/navigating within an applicant tracking system or human resource information system strongly preferred.
Reliable and able to work under pressure the last two working days of each month and first two working days after the 15th of each month.
