Responsibilities:
Working closely with the Associate Dean for Administration & Finance and Director, HR Business Partner Operations, the Manager - Human Resources Operations provides support in several areas, including talent acquisition/recruitment, hiring/employment processing, training, records management, onboarding, policy implementation, performance management, and off-boarding. The Manager selects, develops and supervises the HR Associates who carry out the work and serve as Workday Human Capital Management System (HCM) subject matter experts.
The Manager, HR Administration works in close partnership with Finance and ITS, unit Associate Deans, academic operations staff, faculty, and hiring managers to research, propose, and oversee the implementation of improvements to processes across the College and to promote cross-departmental collaboration, consistency, and optimization. The Manager regularly audits portfolio employee data and produces analytical reports/trends to college leadership and HRBP to support HR planning activities.
Responsibilities include:
Overseeing the process of faculty and staff hires
Conducting audits and compiling reports to ensure data accuracy and integrity and provides analytics to leadership as appropriate
Authorizing, reviewing, and approving transactions such as payments, extra compensation requests, position changes, terminations, contract renewals, etc.
Creating, updating, and publishing process documentation
Developing and delivering user training; supporting HR team training and development initiatives
Overseeing the staff performance management process including communications and training and collecting and tracking reviews
Partnering with academic leadership to support the faculty contract, workload management and promotion processes, as required
Key Responsibilities
Operations Planning & Management (35%)
Provide direct supervision and mentorship to an HR Associates; regularly communicate priorities and establish annual goals for HR operations; effectively delegate work and ensure that deadlines are met; step in to support day-to-day operations during critical work periods.
Keep track of the annual activities/events in the HR operations space work proactively and collaboratively with leadership and business operations to ensure processes are effectively communicated and smoothly executed.
Act as a close partner with business units to identify changing business needs and/or areas for improvement; research, propose/recommend, and implement solutions; evaluate solutions for efficacy through reporting and feedback collection methods.
Provide training to new employees in the academic operations area that will promote broad understanding of the systems and processes that will impact their work. Offer refresher trainings as processes or systems change. Provide guidance to college business units regarding organizational policies and procedures. Acts as Workday Subject Matter Expert.
Creating, updating, and publishing process documentation.
Employee Management (45%)
Collaborate with the Faculty Affairs team to update workload database and adjust/submit extra compensation. Ensure signed copies of final academic year contract are placed in faculty personnel files.
Manage Period Activity Pay (PAP)extra comp process for faculty.
Responsible for processing non-teaching faculty affiliate period activity pay.
Ensure non-teaching faculty affiliate appointment letters articulate deliverable specifics and due dates.
Oversees the hiring process for all staff and collaborates with Faculty Affairs for faculty hires.
Oversee the employee onboarding and offboarding process.
Ensures compliance with all employment regulations, including confirming eligibility to work in the United States.
In collaboration with Finance, HR and college leadership, coordinates the merit process for staff, including, merit letters and bonus payments.
Tracking Data, Faculty Database and Reporting (10%)
Provide current and historic reports to Finance and Academic Administrators regarding payments and employment data within established frequencies.
Provide reports/analytics to assist in HR planning activities
Administer and issue ad hoc reporting as requested.
Special Projects (10%)
Other duties and special projects as assigned by supervisor within the breadth of job scope
Qualifications:
Knowledge of HR program, processes, and policies. Proficiency using technology and systems, preferably Workday, Banner, Salesforce, and talent management systems. Proficiency with Microsoft Office Suite applications, especially Excel. High level of customer service and communication skills; ability to coordinate and collaborate with multiple departments and translate for both technical and non-technical audiences. Effective leadership, interpersonal, negotiation, problem-solving, decision-making and time management skills. Ability to interact with customers in a sensitive and diplomatic manner, maintaining positive relationships and building consensus on project goals. Ability to plan, organize and delegate work to meet deadlines. Project management and/or business analysis skills (e.g., writing business cases, business requirements, use cases, and test plans, and defining acceptance criteria, developing project plans, and estimating work effort). Knowledge and skills required for this job are typically obtained through a related bachelor's degree and at least 5 year of experience that includes HR/payroll database transactions and hiring processes. Experience in Higher Education with faculty expertise preferred.
