Human Resources Associates are essential members of the College of Science (COS) operations team: focused on providing expert advice and support to assigned departments and units in matters of both human resources and faculty affairs for our international, science-focused population.
Working as a part of an expert team within the College, this role will be focused on an assigned portfolio of units and departments. This role provides ample opportunity for HR and faculty affairs professionals to develop their technical and consultative skills. Specifically, the HR Associate will assist by managing recruitment, hiring, performance, annual merit, onboarding/offboarding, and employee data in Northeastern's Workday system. The HR Associate will also contribute to developing protocols for COS-HR operational process improvement. Within assigned portfolio, the HR Associate will oversee position management for operational and research staff (end-dates, renewals, promotions), as well as support visa needs.
The HR Associate is part of a team that collaborates with internal COS units as well as external university partners to solve problems and proactively support the HR and faculty affairs needs of the College of Science population. This position brings together HR and faculty affairs expertise with thoughtful problem solving on a daily basis.
Bachelor's degree required
A minimum of three years professional work experience in nonprofits, education, or related field required.
Candidate should possess a general HR knowledge-base, discretion in handling confidential information, and have experience building successful professional relationships across a broad spectrum of employees.
Excellent communication skills, superior attention to detail, and comfort with learning and utilizing enterprise human resource management software required.
Candidate should seek to thrive in a fast-paced, dynamic culture, and enjoy working in a solution-based environment.
An interest in immigration and physical sciences helpful; understanding of grant-funded nuances and previous experience with Workday beneficial.
Ideal candidate has a strong emphasis on independent management of competing priorities, and is able to navigate difficult situations.

HR and Faculty Affairs Support for Portfolio
Partner with departments and units in assigned portfolio on human resource and faculty affairs needs.
Recruitment: guide, support, and review department and manager-initiated requests for appointing / hiring faculty, staff, temporary support, and visitors. Collect and analyze key data for specialty hires including part-time lecturers to ensure proper union agreement compliance.
Onboarding: Oversee efficient and effective onboarding including I9 verifications, background checks, and other onboarding tasks on behalf of the hiring unit.
Immigration: Liaise between department/College and Office of Global Services, Office of General Counsel, and the individual visa holder. Oversee an efficient intake of materials and coordinate H1B, J1, OPT-STEM, Permanent Resident, and other applications as required.
Work with units in portfolio on position management, performance, promotions, position edits, and other changes as necessary.
Monitor grant or specially funded positions for end-dates and ensure that offboarding and termination is properly executed.
Review and approve department-initiated special payment requests including summer salary, off-contract teaching, and similar payments. Coordinate closely with COS Post-Award and COS Finance to ensure amounts are correct and funding is available before approving.
Assist managers within portfolio with employee relations issues - escalating to Associate Director and/or HR Business Partner as necessary.
Identify and escalate unusual or problematic transactional issues to the proper authority directly and manage the case until resolved or re-assigned.
Communicate updates on key transactions to all stakeholders.
Project Management and Special Duties for HR and Faculty Affairs
Support the Associate Director with cyclical large projects including but not limited to goal setting and performance management, merit recommendations, organizational restructures and designs, hybrid work schedule management and tracking, and position management/forecasting
Work with Associate Director and others in College of Science Dean's Office as appropriate on new systems implementation, including working with implementing offices, user acceptance training, and trainings within College
Consider, propose, design, and implement training or workflow tools as well as instructional materials to benefit College of Science faculty and staff
Assist with COS Intranet documents, writing on business process-flow design
Subject Matter Expert and Training Mentor - HR and Faculty Affairs
With minimal supervision - coordinate special initiatives as directed by the Dean. These may include faculty and staff award programs, employee outreach, coordinating new committees, drafting agendas and project schedules etc.
Manage ongoing projects and report to the Dean, including tracking outstanding or missing items, identifying and escalating issues as appropriate, troubleshooting issues or referring to the correct individual.
