The UW School of Law has an outstanding opportunity for an Academic HR Manager to join their team.
Position Purpose
Reporting to the School of Law Director of Human Resources, Equity, and Engagement, the Academic HR Manager establishes and maintains academic human resources processes that comply with applicable regulations and University policies. This position advises senior leadership, program managers, faculty committees, and other program staff in areas related to compliance issues. The Academic HR Manager is expected to successfully build professional relationships with campus partners such as Academic Human Resources, the Office of Equal Opportunity and Affirmative Action, and the International Scholars Office.
The position provides leadership and expertise in academic human resources policies and procedures. This position requires substantial organizational, problem-solving, and project management skills, as well as individual initiative and excellent communication skills. This position entails frequent and substantive interactions both within and outside the law school community and involves sensitive and confidential matters; using good judgment, tact, and discretion are a necessity. This position requires accuracy, efficiency, flexibility, and a desire to serve multiple stakeholders, while working within UW regulations and policies.
DUTIES AND RESPONSIBILITIES
Academic Human Resources (80%)
Interpret the faculty code and local school of law bylaws and policy to provide accurate and timely service and counsel on faculty personnel issues. Serve as the first point of contact for departmental AHR questions and for central HR resource departments such as Academic Personnel and the ISC. Respond to inquiries for advice or information, maintain effective employee relations and resolve problems in academic personnel including appointments, compensation and benefits. Manage appointment actions for all faculty (tenured/tenure-track professors, multi-year/annual and fixed term appointments, part-time lecturers, affiliate, emeritus, and adjuncts), including promotion and tenure, recruitment/hiring, reappointments, endowed professorships, administrative appointments, leaves, compensation changes including merit and separations. This requires thorough knowledge of Academic HR policies and processes within and outside of Workday, including faculty appointments and Federal visa requirements. Draft and monitor employment contracts, offer letters and additional compensation plans for affiliates, part-time lecturers contract faculty, staff who teach and full time faculty ensuring they are in compliance with UW, AHR and payroll guidelines. Serve as administrator for part-time and affiliate faculty in the JD and graduate programs. Provide oversight of financial reporting and analysis over part-time and affiliate faculty salaries, teaching loads, co-teaching assignments and course cancelations. Monitor affiliate and part-time faculty hiring not to exceed budget and ensure part-time and affiliate staffing structure harmonizes with the teaching policy for full-time faculty. Negotiate and update the salary schedule and reimbursment rates for affiliate instructors working in different programs and categories of courses. In partnership with the Executive Director of Graduate Education administer all visiting scholar and visiting scientist appointments in addition to the PhD program committee appointments and compensation plans. Design and oversee the faculty portal, an online faculty lifecycle management tool, including the management of faculty governance and policy embedded into the portal. Act as primary expert and provide leadership and direction to the candidates while provide counseling, planning and coordination with the Promotion and Tenure Committee, Advisory Committee and Associate Dean for Academic Administration. Draft policy and provide consultation to faculty committees. Oversee the promotion process in partnership with the Associate Dean of Academic Administration and HR Director. Manage all aspects of the faculty recruitment process, including the development of position descriptions and preparation of proposals for approval of new or revised positions and salary level and determining job classifications; preparing and placing position advertisements; coordinating hiring committees as needed; screening applications; contacting applicants for interviews; preparing or overseeing correspondence with applicants; making salary offer recommendations; securing central University approval for hiring desired candidates and completing the hiring process with new employees. Serve as Interfolio administrator for the School of Law and provide leadership for the Faculty Appointments Committee. Assist the HR Director in composing the hiring plan for all part-part time, visiting and affiliate positions. Manage the onboarding and offboarding process for faculty including affiliates and emeritus. Update and maintain the information in the school’s personnel database, tracking systems, and intranet that feed the external website and course catalog. Evaluate, review, and prepare professional staff who teach excess pay and all other supplemental compensation plans associated with academic appointments and make recommendations concerning their approval. Additionally, manage all faculty administrative appointments. In partnership with the Associate Dean for Advancement manage the endowed professorship process. In partnership with the HR Director administer the merit review process for faculty.
Policy/Procedure Oversight and Compliance (10%)
Write and update local-level AHR policy and payroll process documentation utilizing faculty personnel policies and procedures including the Faculty Code, Provost guidelines, Washington Administrative Code, local bylaws, and policy for faculty in addition to guidance set for the by the School of Law accreditation agency the American Bar Association (ABA) and the School of Law’s financial regulation policies. Evaluate and monitor the needs of the Academic HR program to initiate/refine new and existing systems. Actively guide process improvement efforts to improve efficiency and effectiveness. Participate in process improvement initiatives with AHR, ISC, UW and the ABA. Working with the Executive Assistant to the Dean and the Associate Dean for Research and Faculty Development, maintain the annual faculty work planning conferences, peer teaching evaluations process ensuring that the faculty reviews comply and support the course request system, promotions, reappointments, and the merit review process. Coordinate with the business office for improved management of faculty costs/spending including cost centers and faculty support accounts. Oversee the faculty census for the school of Law and conduct regular audits for faculty appointments for workload and financial analysis.
Faculty Compensation, Leave Administration and Payroll
Oversee and audit faculty appointments and compensation in the payroll system and determine appropriate payment mechanisms, compensation levels, leave types and payroll titles in workday. Serve as back up for graduate and undergraduate student, librarian and project appointment, fixed duration and hourly staff appointments. Administer the faculty summer salary distributions and summer hiatus leaves. Collaborate with the Assistant Dean for Finance and Administration and the business office to ensure that salaries and cost centers are accurately entered into Workday and align with the salary projections and salary tracking system each quarter. Manage all faculty leave requests and calculate partial leave time off based on teaching loads prior to Associate Dean signature.
Recognition, Training and Development
Conduct orientation and exit interviews for new and departing faculty. Develop, manage and conduct formal and informal training sessions on University, state and federal policies and procedures including promotion and tenure workshops, affiliate orientation and other formal and informal trainings. Assist the HR director by co-hosting manager meetings. In collaboration with the HR Director coordinate faculty recognitions.
Other duties as necessary (10%)
MINIMUM REQUIREMENTS
Bachelor’s degree in Business Administration, Human Resources or related field or equivalent combination of education and experience AND three to four years of administrative experience including personnel administration, analysis, and report writing.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS

Knowledge of applicable federal and state personnel policies, rules, regulations and laws. Excellent oral and written skills and demonstrated ability to communicate with all levels of University employees. Ability to work well under pressure, deadlines, and changing priorities. Ability to work independently and have demonstrated customer service and problem resolution skills. Ability to work with diverse people with tact, diplomacy, discretion, sensitivity, and confidentiality. Possesses a high level of accountability, drives for results, displays a sense of ownership, and is passionate about attaining goals and surpassing expectations. Demonstrated ability to analyze, develop and implement process improvements. Experience working with Microsoft Windows, Excel, Word.
DESIRED QUALIFICATIONS
University of Washington human resources experience to include knowledge of University personnel policy and procedures for faculty. Comprehensive knowledge of UW administrative systems (UWHires, Interfolio, Workday). Demonstrated experience in processing/oversight of faculty and staff payroll. Experience or knowledge in contract management.
