The Manager, HR Administration works closely with the Director, HR Partner Operations and HR Business Partners supporting the administrative functions at Northeastern University. The Manager, HR Administration reports to the Director, HR Operations with a dotted line reporting relationship to the Senior HR Business Partner. Specific duties include supporting the HRBP team in the operations for functional areas including processing for talent acquisition/recruitment, hiring/employment processing, training, records management, onboarding, policy implementation, performance management, and off-boarding. The manager may supervise assigned HR staff and together with that staff ensure completion of HR administrative activities noted above and acts as Workday Human Capital Management System (HCM) subject matter expert.
The Manager, HR Administration has reporting relationship to University HR Service Team and works in close partnership with Finance and ITS, operations staff, and hiring managers to research, propose, and oversee the implementation of improvements to processes across the units and to promote cross-departmental collaboration, consistency, and optimization. Under the direction of the HRBP's the manager regularly audits portfolio employee data and produces analytical reports/trends to business units leadership and HRBP's to support HR planning activities.
Overseeing the processing of all part-time, half-time, and full-time staff hires including unionized positions.
Conducting audits and compiling reports to ensure data accuracy and integrity and provides analytics to leadership as appropriate
Authorizing, reviewing, and approving transactions such as payments, extra compensation requests, position changes, terminations, contract renewals, etc.
Creating, updating, and publishing process documentation
Developing and delivering user training; supporting HR team training and development initiatives
Overseeing the staff performance management process including communications and training and collecting and tracking reviews
Acting as a subject matter expert for University systems such as Workday, Salesforce, Service Now, Banner, etc.
Operations Planning & Administration:
Keep track of and administer the annual activities/events in the HR operations space for assigned units and ensures Workday employee data is updated and accurate.
Act as a close partner with units to identify changing business needs and/or areas for improvement; research, propose/recommend, and implement solutions; evaluate solutions for efficacy through reporting and feedback collection methods.
Provide training to HRBPs and new employees in the operations area (as assigned) that will promote broad understanding of the systems and processes that will impact their work. Offer refresher trainings as processes or systems change. Provide guidance to academic units regarding academic and organizational policies and procedures. Acts as Workday Subject Matter Expert.
Tracking Data and Reporting:
Provide reports/analytics to assist in HR planning activities
Administer and issue ad hoc reporting as requested.
Complete special projects as assigned.
Bachelor's degree required: accounting, business, finance, technology, or related field is preferred.
A minimum of four-six (4-6) years of experience with HR/payroll database transactions and hiring processes.
Experience in Higher Education with Union expertise preferred.
Proficiency utilizing technology and systems including Banner, Salesforce, Service Now and Talent management systems.
Demonstrated proficiency with payroll, general ledger reconciliation and basic understanding of accounting principles is also required. Prior participation in the implementation of a new payroll system is a plus.
High level of customer service and communication skills; ability to coordinate and collaborate with multiple departments and translate for both technical and non-technical audiences.
Must have the ability to interact with customers in a sensitive and diplomatic manner, maintaining positive relationships and building consensus on project goals.
Applicants should be extremely accurate, organized, able to meet tight deadlines, maintain confidentiality, and possess excellent accounting, communications, computer and customer services skills
Proven project management and/or business analysis experience in project planning, executing, monitoring and tracking is required. This includes writing business cases, business requirements, use cases, and test plans, and defining acceptance criteria, developing project plans, and estimating work effort.
Must also demonstrate excellent leadership, interpersonal, negotiation, analysis, problem-solving, decision-making and time management skills.
Expertise in working with Microsoft Office Suite applications, especially Excel.
Must be comfortable working both independently and as part of a dynamic team.
