HR & Payroll Coordinator (Hybrid) - University College

Responsible for a wide range of payroll, human resources and other services for University College. This includes timely and accurate input of new hires and personnel data changes, and payroll processing for faculty, general and administrative staff, and support staff in University College. Prepare monthly payroll reconciliations, semester payroll reports and maintain databases used in the contracting and payroll process.
This position requires the ability to work in a hybrid work arrangement, the ability to travel to on and off-campus locations and the ability to work evenings and weekends.
Primary Duties & Responsibilities
Faculty Appointments, Contracting, and Payroll Processing
Maintain database used in generating adjunct appointment contracts, minimum enrollments and approved pay scales; use database to report low enrolled courses and assist with course cancellations.
Generate and track faculty, coordinator, and academic staff contracts for semester appointments; follow-up to ensure signed contracts are received.
Enter annual appointment for University College Lecturers.
Manage online appointments in Workday for faculty and academic support staff.
Request and manage faculty correspondence and documentation including transcripts and CVâ™s; manage faculty teaching qualification documentation required to meet HLC requirements.
Ensure faculty handbook and website are updated with complete and accurate resource information.
General and Administrative Staff
Serve as primary payroll representative for University College staff members, managing time reporting processes, including reviewing timesheets for errors and securing appropriate manager approvals; run required pay cycle reports and review for accuracy and completeness, resolving issues.
Serve as principal contact for staff with payroll questions.
Process manual check requests and payroll accounting adjustments as needed.
Coordinate the new hire, rehire, transfer, or termination process in Workday for all University College staff, including federal work-study students.
Prepare and submit new staff and academic job postings, assist in the recruitment process and coordinating the on-boarding and department orientation process for new hires.
Maintain accurate staff information in Workday and confidential internal files and documents.
Reporting, Reconciliations and Administration
Coordinate meetings, prepare documents and present information for Deanâ™s review and New Faculty Orientation (NFO) each semester.
Provide semester faculty reporting; including ad hoc reporting and review and input for adjunct bargaining unit members reports for the SEIU.
Reconcile payroll and pay sheets on a biweekly and monthly basis to ensure accuracy of compensation and sourcing.
Generate enrollment reports and assist in the course cancellation process.
Work with A&S graduate school to identify graduate students teaching as part of MTE (mentored teaching experience).
Provide various ad hoc reporting as needed.
Coordinate with the department of Human Resources as needed.
Manage faculty correspondence including requests for transcripts and CVâ™s and other documents needed for faculty qualifications documentation for HLC accreditation.
Assist in identification and confirmation of faculty that are members of the collective bargaining unit.
Continually look for opportunity to improve workflow, efficiency and accuracy of transactions.
Maintain a thorough knowledge of guidelines, policies and procedures; communicate relevant information to academic and general and administrative staff in University College to ensure consistency of human resources and payroll practices and adherence to university policies and procedures.

Bachelorâ™s degree in Accounting.
Knowledge of University systems (Workday, SIS, SIS Reporting Database (Access), Cognos).
Experience with other academic and financial reporting systems.
Prior experience in a university setting.
Individual must be very detail oriented with strong analytical, problem solving and organizational skills.
Excellent interpersonal and communication skills (written and verbal).
A service-oriented communicator.
A self-motivated individual with a high degree of curiosity, reliability, accuracy, and productivity.

A proficiency in word processing, spreadsheet and database management software applications.

High school diploma or equivalent high school certification and three years of payroll, accounting or administrative support experience.
Proficient user of Microsoft Office, and a strong knowledge of Excel.
$22.25 - $34.45 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
