The Postdoc Administrator will serve as the main resource related to the administration of postdoctoral trainees in the Department of Biochemistry & Biophysics on the Mission Bay campus. This individual will participate in all aspects of postdoc administration including: 1) Liaising with the HR Shared Services Team for Trainees. 2) Tracking all postdoc appointments including visa and fellowship end dates. 3) Providing post-award management of postdoctoral research fellowships. 4) Assisting with UCPath funding entry and direct retro processing for postdoc appointments. This role is an excellent opportunity for someone looking to gain exposure to all areas of administration in a basic science research department.
Liaise with the HR Shared Services Team for Trainees: 1) Work directly with labs to gather necessary documentation to hire and renew all postdocs in the Department. 2) Submit cases with the required information and track all cases in People Connect related to postdocs. 3) Work directly with the Department's finance team to ensure appropriate funding sources and availability of funds. 4) Work with the HR Liaison to strategize and field HR-related questions from both trainees and faculty.
Track all postdoc appointments including visa end dates: 1) Develop and maintain an internal tracking system to assist with the tracking of all postdoc appointments including visa end dates, postdoc year, and fellowship end dates. 2) Maintain listservs and communications for postdocs in the Department.
Provide post-award management of postdoctoral research fellowships: 1) Provide management of all postdoctoral fellowship awards working in consultation with the finance team, Research Management Services (RMS), and Contracts & Grants Accounting (CGA). 2) Review award notices and fellowship terms to interpret and advise on expense allowability. 3) Assist the postdoc with review of ledgers and use of the Award Verification tool.
Assist with UCPath funding entry and direct retro processing for postdoc appointments: 1) Enter initial funding entry for all new hire and renewal postdoc appointments. 2) Work with the finance team to assist with the entry of direct retro transactions for postdoc appointments in the Department. May also assist with entry for Graduate Student Researchers (GSRs).
