This position assists the Apprenticeship Manager planning and coordinating the day-to-day clerical and administrative activities of the Apprenticeship and Clinical Training program.
Primary Duties & Responsibilities
Coordinates Apprenticeship staff interoffice activities and related administrative needs.
Serves as a primary liaison between candidates, participants, trainers, staff, other departments, and/or external contacts on day-to-day operational, and administrative issues of the program; facilitates seminars, meetings, special projects, and problem resolution.
Develops and implements activities, including, but not limited to, seminars, conferences, trainings, public events and other related programs; assists in the development of new ideas and concepts for program themes, materials and resources to supplement, expand or replace existing program components.
Assists with preparation of Apprenticeship materials; writes, edits, and coordinates development of promotional materials, educational materials, classroom training paperwork training manuals, newsletters, and/or brochures, as appropriate to the program; coordinates and/or participates in public relations activities.
Assists program trainers with preparation of classroom materials, lectures and administrative materials required for the department.
Schedules activities related to Apprenticeship, including, but not limited to, information sessions, skills workshops, and public events.
Assists Manager and support staff, faculty, and/or volunteers engaged in implementation and administration of program objectives.
Monitors and evaluates program effectiveness, investigates trends, and recommends and implements modifications to improve program effectiveness.
Works with the Apprenticeship Manager, Clinic Manager/Supervisors and Recruiter to monitor and identify Apprenticeship needs in the outpatient clinical setting; assists with classroom training session schedules according to clinic needs.
Assists the Manager with preparation and submission of required paperwork for admission into Apprenticeship programs.
Assists in the preparation of budgets and grants; monitors, verifies and reconciles expenditure of budgeted funds as appropriate; may participate in other fundraising activities.
Monitors program/project revenues and expenses for cost effectiveness of program.
Collects and analyzes data; prepares scheduled and special reports; maintains program/project records and statistical information, including admission paperwork, invoicing and entry into database, as well as Apprenticeship tracking to ensure payment received.
Performs clerical and administrative support tasks, including creation, typing, and editing of program materials, correspondence, purchasing documents, reports, program handbooks, brochures and other publications.
Performs miscellaneous job-related duties as assigned.
Bachelorâ™s degree in a business-related field.
Experience in a medical, research or educational environment.
Ability to lead and train staff and/or students.
Skill in organizing resources and establishing priorities.
Knowledge of finance, accounting, budgeting, and cost control procedures.
Ability to coordinate and organize meetings and/or special events.
Advanced writing and editorial skills.
Knowledge of communication principles.
Ability to interact with trainers, apprentices and/or staff in a team environment.
Strong interpersonal and communication skills.
High school diploma or equivalent high school certification.
Two to four years of related experience.
$20.15 - $31.26 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
