The Human Resources Coordinator serves as the initial point of contact for employees and visitors to the Office of Human Resources (HR), providing the first level of information and support and engaging other members of the HR team as needed for further support. This position is responsible for assisting in the onboarding new employees. Additionally, this position supports the administrative and operational needs of the department, as well as events and programs sponsored by the Office of Human Resources.

• Provide coordination of the HR Office operations and initial support to employees and visitors.
• Provide general information and support related to HR inquiries to employees and visitors.
• Understand departmental procedures and how they relate to divisional/University procedures

• Support the specialist in appointment letters for staff, administrators, graduate assistants, temporary employees, volunteers, and interns for the Chief Human Resources Officer (CHRO signature, ensuring accuracy of data.
• Coordinate compliance with the SJU Minors on Campus Policy; prompt annual email announcement by the CHRO; collect all program applications and all associated background checks;
• Coordinate compliance with I-9 requirements; witness and photocopy appropriate documentation of identity and authorization to work; track compliance in Banner;
• Complete credential checks, e.g. degrees; upload results to Records.
• Open, process, distribute, and prioritize daily mail, with special attention to any regulatory, confidential and/or time-sensitive mail.
• Serves as liaison for meetings and events, including but not limited to checking meeting invitees’ schedules, preparing and distributing meeting materials in advance, reserving rooms, arranging technology equipment, loading and testing Power Point presentations, and ordering food.
• Monitor the resumes@sju.edu and humanresources@sju.edu email accounts.
• Supervise HR student workers, including scheduling, approval of work hours and directing their daily responsibilities.
• Manage employment verification process.
• Manage and monitor departmental budget and invoice submission

• Associate’s degree and 1-3 years of experience in an administrative support role or an equivalent combination of education and experience.
• Intermediate skill level in Word, Excel, PowerPoint, and internet search software relevant to the position. Intermediate skills in function specific database software (e.g., Banner).
• Excellent communication skills (i.e. grammar, vocabulary) – verbal and written – to be applied to telephone communications and to written communications such as email, letters, memos, etc.
• Demonstrated high level of organizational, communication and customer service skills.
• Competent in the use of office machines, including multi-line telephone system, fax machine and copier.
