Job Summary:
The Office of Human Resources is now accepting applications for an HR Coordinator position. The HR Coordinator is responsible for all processing actions related to hiring, benefits, personnel changes, and terminations. Under the general supervision of the Employment and Benefits Manager, the HR Coordinator works closely with the HR Generalists and HR Business Partners to ensure the efficient processing of all HR transactions. Each HR Coordinator will support a defined population of employees at ETSU. This role is expected to take a proactive approach to working with the entire HR team to ensure streamlined business processes are applied.
Job duties include but are not limited to:
On-Boarding:
- Reviews and processes all hiring paperwork for regular, temporary, and graduate assistant/tuition scholar employees, including data entry into all HRIS systems.
- Ensures data standards are met for all personnel data.
- Creates electronic personnel files for new employees and ensure paperwork is uploaded in a timely manner.
- Receives transcripts as required and uploads into personnel file.
- Calculates prior service and longevity dates for employees.
New Employee Orientation:
- Presents information on benefits plans to new employees and employees returning to state service;
- Conducts initial meetings with employees, clarifies information on benefits and retirement, and explains benefits in a way that employees understand;
- Processes new hire benefits enrollments within deadlines set by the State of TN.
Benefits:
- Processes employees' changes to benefits due to life events;
- Assists employees with Annual Enrollment changes to benefits;
- Maintains HRIS database with employees' benefits election information.
- Monitors hours worked by temporary employees to ensure compliance with the Affordable Care Act.
Employment:
- Processes Fiscal Year Salary Allocation forms for employees.
- Processes name changes for employees.
- Processes personnel change forms for salary, position, title, and other changes.
Retirement:
- Assists employees with the retirement planning process and timeline;
- Reviews requests to withdraw retirement funds, and secures the signature of a Plan Administrator;
- Completes the employer portion of applications for state retirement benefits and insurance benefits;
- Plans and hosts Medicare classes in partnership with the Tennessee State Health Insurance Assistance Program;
- Prepares documentation for payroll regarding final pay and benefits for departing retirees.
- Reports pay data to TCRS regarding retirees who return to temporary, part-time employment;
- Completes employees' applications for additional retirement credit from previous temporary service.
Off boarding:
- Assist employees who are leaving the University with retirement questions pertaining to vesting, rollover, or withdrawal;
- Prepares documentation for payroll regarding final pay and benefits for departing employees;
- Assist new employees and former employees who wish to transfer State of TN service or leave balances to their new State employer.
