The incumbent will be responsible for ensuring all employees, faculty and trainees are efficiently and compliantly guided and supported throughout the continuum of their employment in the Department of Pathology & Cell Biology, including recruitment, onboarding and training, international affairs, academic and postdoctoral affairs, annual compliance, reappointments, promotions, and separation. This position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization.
Reporting to the Manager of HR & Academic Affairs, the HR Generalist will work closely with CUIMC HR, Faculty Affairs, International Affairs, and other stakeholders hiring multilevel employees and processing all required paperwork.
Talent Acquisition and Employee Experience (40%)
Manages the recruitment, onboarding efforts and exit procedures for all exempt, nonexempt, student, short-term visitor and temporary/casual personnel; suggests innovative ways to attract qualified candidates and researches relevant niche job boards and other advertising platforms.
Participate in the recruitment process, including pre-screening candidates, setting up interviews, reference verification
Guide candidate, hiring manager and leadership through the recruitment and onboarding process to ensure outlined roles and responsibilities are adhered to and ultimately to provide a seamless and positive experience for all involved.
Process, monitor, and track incoming interns, visitors, or observers.
Enter, track, and report recruitment and onboarding metrics.
Serves as the lead on staff transitions; including promotions, salary adjustment requests, the conduct and summary of exit interviews among departing employees and all necessary coordination with managers, operations, and IT staff to address return of equipment and material upon exit from employment.
Collaborates with employees to research and identify relevant professional development opportunities that are aligned and integrated within the organization's strategic vision
Coordinate reappointments for all appointed employees.
Ensure all staff receive notifications and instructions regarding reappointment process and deadlines.
Track and collect reappointment documents and compliance.
Leave of Absence (5%)
Assist with LOA in accordance with federal, state, city and university guidelines and policies.
Work with outside departments to process and track paid and unpaid LOA requests to avoid over or underpayments.
Escalates all sensitive leave management requests to the Director of HR and Academic Affairs for review and follow-up.
Compliance & Administrative Duties (30%)
Provide administrative support to the office including responding to inquiries related to staffing, payroll, benefits, HR policies, labor/employment laws, and regulations via telephone, email and in person.
Process monthly timesheets for Officers of Administration and submit annual time off reporting
Conduct periodic audits of personnel files for multiple purposes.
Enter relevant data changes into the appropriate reports including, but not limited to, leave of absence tracking; recruitment tracking; demographic data, etc.
Assist Director of HR and Academic Affairs with tracking and reporting of HR metrics including but not limited to, recruitment, retention, and attrition-related statistics.
Schedule meetings; coordinate room bookings for various events; and perform other administrative duties as may be assigned.
Maintain and disseminate compliance reports regarding university and hospital initiatives, including but not limited to: HIPAA & Security Essentials, Conflict of Interest, Columbia Faculty Briefing, Title IX, Harassment and Discrimination, Annual Hospital Training (AHT), Annual Health Review (AHR), Influenza (FLU), Annual Stroke CME, NYP Professional Practice Evaluations
(FPPE/OPPE) for new and existing clinicians.
Maintain active credentials to support NYP appointment.
Maintain Administrative Joint Commission files for compliance
Special Projects (10%)
Assist with special projects as needed including but not limited to Open Enrollment, Performance Appraisals, Employee Recognition and Employee Engagement.
Actively participates in developing HR Unit goals, objectives, and systems
Performs other related duties as assigned.
Requires a bachelor's degree or equivalent in education and experience, plus three years of related experience.
Experience in Human Resources a plus, and experience working in a hospital healthcare environment.
Human Resources certification (HRCI or SHRM)
Ability to be extremely well organized, with careful attention to detail and follow up
Strong oral and written communication skills.
Strong interpersonal skills with the ability to interact with all levels of faculty and staff.
Knowledge of computer programming, particularly in the development and implementation of databases.
Ability to manage several demanding projects simultaneously.
Word, Excel, Databases, and PowerPoint skills.
Ability to work in a fast-paced environment.
