This position will report to the Director of Human Resources in University Advancement, and is responsible for managing and executing a variety of human resources functions and activities in support of the division of University Advancement.
Core Responsibilities:
Duties/essential functions may include, but not be limited to, the following:
- Assist in the full Workday recruiting and hiring process of employees: includes recruiting coordination, scheduling interviews, screening candidates, verifying work-history and references, extending employment offers, and tracking information on new candidates;
- Help with new-hire procedures: including organizing employee orientation, creating new employee files, administering new employee materials, and ensuring all necessary paperwork and requests are completed and submitted appropriately;
- Execute Workday transactions in support of staffing changes and other staff related transactions;
- Work closely with the UA Learning and Performance team in support of several functions and activities;
- Provide important new hire information to other UA teams and other campus groups;
- Conduct staff check-in meetings and help maintain a positive employee experience;
- Maintain confidential human resource data and documents;
- Prepare materials and help organize employee performance reviews;
- Coordinate the student employment program and the biweekly payroll process;
- Coordinate the hiring process through the CMU temporary employment services group;
- Under the direction of the HR director, be a vital source of human resources information answering HR questions employees may have;
- Process certain financial transactions in support of the UA HR group business needs;
- Special projects as assigned;
- Performing related duties as assigned.

- Must have PC skills and be proficient with the following applications: Google Mail, Microsoft Suite. Familiarity with HR/payroll systems (e.g. Workday) and financial/purchasing systems (e.g. Oracle);
- Ability to sit for long periods of time and lift five pounds; ability to travel between campus offices; work in close contact with computer, monitor, and keyboard;
- Ability to work independently, handle confidential information, work under pressure, juggle multiple projects and assess priorities, pay close attention to detail, meet inflexible deadlines and manage conflicting priorities, and deal with difficult situations while maintaining composure;
- Ability to work in a cubicle setting with close contact with PC and monitor for long periods of time; and
- Ability to work occasional weekend and evening hours may be required.
Qualifications:
- Bachelor's degree required;
- 1-3 years of relevant human resources experience is required;
- Or a combination of education and relevant experience from which comparable knowledge
Additional Requirements:
- Accountability: Responsible for ensuring that the various regular aspects of an assignment or project are carried out in a timely fashion. Incumbent will assure the accuracy and timeliness of all correspondence, research and reports. Accountable for making candidate travel arrangements, securing advances and processing expense reports in a timely manner. Will be expected to reconcile travel and meeting expenses against budgeted amounts. Have direct contact with candidates in a professional and courteous manner.
- Direction: Expected to work independently in most instances and demonstrate good judgement in setting priorities for work completion. Only the most difficult or unique situations are referred to supervisor, as appropriate.
- Decision Making: Ability to recognize a potential problem and suggest solutions; makes decisions regarding day to day performance of tasks. Be cooperative and supportive of all public contacts and questions. Handle inquiries directly or refer to the appropriate person without needing direction from the supervisor. May make recommendations to improve procedures or workflow in department.
- Supervisory Responsibility: This position does not supervise others.
- Working Conditions: Primarily sedentary. Work is usually performed in a cubicle setting with close contact with PC and monitor for long periods of time. Occasional weekend and evening hours may be required.
- Mental: Ability to pay close attention to detail, work with frequent interruptions, work well under pressure, and maintain quality of detailed work while meeting competing and inflexible deadlines; ability to remain calm during difficult situations; ability to work with confidential information, and maintain confidentiality at all times.
