Visitor Information Services welcomes more than 100,000 visitors to campus annually, offering campus tours and providing information about the university and the surrounding area. The trained staff of student tour guides represent many academic disciplines and campus activities including student leadership, performing arts, community service, and athletics. We help visitors navigate and enjoy our world-class facilities, sprawling foothills, and distinctive sandstone and tile architecture.
The Central Administration Team is committed to attaining the highest level of quality, reliability, excellence and integrity in its provision of services to the staff and visitors to Stanford University by managing resources responsibly, efficiently, effectively and with accountability while evaluating and continually improving the actions, methods and processes of our operations, and developing a professional and skilled staff dedicated to the service philosophy.
Reporting to the Director of Administration and Operations and as a member of the Central Administration infrastructure support team, the Human Resources Administrator will provide human resources program oversight, support, and/or management to include planning, implementation, auditing, and reporting to meet established deadlines; act as the first point of contact for most human resources inquiries; and serve as a resource to 250+/- full-time, temporary, casual and student staff on human resources policies, procedures, and practices.
Your responsibilities include:
Interpreting human resources policies, and providing advice on human resources processes, procedures and issues. Resolve issues as appropriate and consult with and make recommendations to the director to resolve more complex issues (e.g., compensation, vacation, sick time, miscellaneous authorized absences, separation from employment, retirement, trial period, paid holidays, relocation, hybrid/remote work arrangement, sick time, out-of-state employees, payroll, lactation accommodation, workplace accommodation for employees with disabilities, employment benefit programs (health plans, tuition privileges, disability and family leaves, etc.), and other miscellaneous items such as staff directories, listservs, distribution lists, Stanford ID cards, etc.).
Facilitating the recruitment process by providing advice and recommendation(s) to hiring managers on job postings, advertising, interview questions, and reference checking. Conducting pre-screening, including sourcing and interviewing, to refer qualified applicants to hiring managers (e.g., determining which regional and/or national professional organization websites to post, conducting preliminary phone screening to determine which qualified candidates to recommend to hiring managers to move into the next round of interviews, developing strong knowledge of each role/responsibilities across all four divisional teams of the unit in order to effectively crat interview questions as well as reference check forms, etc.).
Designing and managing onboarding and exit processes.
Managing HRIS data management activities, including PeopleSoft transactions and monitoring personnel action reporting to ensure data integrity and compliance, and researching and resolving pay issues.
Developing and maintaining a variety of reports and queries. Analyzing and monitoring data to recommend and implementing process and practice improvements (e.g., will routinely run BI reports).
Explaining applicable workers' compensation, disability, leave policies and procedures. Managing appropriate documentation and generating related forms and correspondence; May updating reports to track leaves and maintaining HRIS records.
Coordinating the communication and management of the mid-year and annual performance appraisal and salary planning processes; gathering data and/or generating reports to support the performance appraisal and salary planning processes. May conduct analysis to determine salary inequities and provide recommendations to the director.
Guiding managers in the process of selecting job descriptions and developing job postings.
Processing all transactional HR documents (e.g., HRTS submissions - job postings, new hires, terminations, salary/wage changes, job reclassifications, etc. - scheduling interviews, conducting reference checks, updating internal staff directory and employee emergency checklists, ordering business cards/name badges, updating workgroup listservs, etc.).
Positions at this level may include one or more of the following duties:
Coordinate the process for staff and student appointments.
Provide advice on documentation requirements, including how to revise documentation to ensure all university and legal requirements are met.
Support and/or implement compliance programs.
Conduct research in support of workplace investigations.
Minimum Requirements:
Associate degree and four years of relevant experience, or a combination of education and relevant experience. Bachelor's degree highly desirable.
To be successful in this position, you will bring:
Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel and PowerPoint) experience. Familiarity with human resource management systems, such as PeopleSoft and time/leave systems. Experience using email and internet.
Demonstrated experience applying and interpreting human resources policies and procedures.
Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion.
Ability to work independently, consistently follow through with projects and assignments, and meet deadlines.
Excellent oral and written communication skills to independently draft effective correspondence and documentation.
Demonstrated strong and effective interpersonal and customer service skills.
Strong analytical, critical thinking and problem-solving skills.
Must be skilled in human resource management systems, such as PeopleSoft and time/leave systems.
