Job Summary:
The Human Resources Specialist will perform administrative tasks and services to support effective and efficient operations of the School's Human Resources department.
Duties/Responsibilities:
Maintains accurate and up-to-date human resource files, records, and documentation
Answers frequently asked questions from employees relative to payroll, benefits, and time off, refers complex questions to the HR Manager
Supports the administration of paid time off by helping employees and managers use the time off system (ADP), answering basic questions, investigating system issues, and reconciling time off balances
Assists in recruitment by working with hiring managers to open and close job requisitions on the applicant tracking system (ADP)
Assists in the hiring process by completing background checks and other pre-employment requirements, tracking new hire progress, and following up with applicants on missing items
Assists in the onboarding and offboarding process
Implements and tracks all mandatory training and follows up with employees on their progress
Respond to requests for employment verification
Assists in processing department invoices
Acts as payroll back-up to HR Manager and Controller
Performs periodic audits of employee data in ADP and personnel files
Performs other duties and special projects as assigned
Personnel & Professional Requirements
1 – 3 years experience in Human Resources administration required
Bachelor’s degree required
Proficiency in HRIS/Payroll/Time & Leave systems or a willingness to learn, and comfort with HRIS technology
High proficiency working with Microsoft Office, especially MS Excel
High level of organization skills with an attention to detail and deadlines
Excellent customer service, time-management, and written and verbal communication skills
Ability to communicate effectively with all constituents in a school environment
Experience in payroll is a plus
Experience in independent schools and/or non-profit organizations a plus
Experience with ADP Workforce Now a plus
Physical Requirements:
Covid-19 vaccination required
This position requires the applicant to work on-site five days a week, except during the summer when there are options to work a hybrid schedule.
This position requires the applicant to occasionally travel to the Lower School in White Plains, NY.
Prolonged periods of sitting at a desk and working on a computer.
Hours: 8 am-4 pm, early dismissal on Fridays
