Position Summary
The Human Resources Assistant will join a team of professionals committed to furthering the mission of Regis College through Human Resources programs and services to support faculty, staff, and student employees. Under the general supervision of the Associate Vice President of Human Resources and the daily supervision of the Employment and HRIS Manager and the Senior HR Generalist, the Human Resources Assistant is responsible for ensuring the smooth operation of the front office; managing the onboarding process, and assisting with Human Resources programs.
Essential Functions
- Coordinate with hiring managers and candidates to initiate, track, and process background checks and schedule orientation for prospective hires.
- Responsible for onboarding communications and the welcoming of all new employees; conduct complete orientations for non-benefit eligible faculty and staff.
- Responsible for processing remote and reciprocal Forms I-9. Collection of Forms I-9 in conjunction with the Student Employment Coordinator. Conduct routine audits for accuracy and compliance. Keep abreast of changing DHS/USCIS regulations.
- Assist in the maintenance of electronic employment records and data to include new hire information at onboarding and employee changes in Human Resources Information Systems (HRIS); issue/re-issue log-in information for the HRIS/Payroll system; ensure accurate processing of employee information to payroll.
- Receive visitors, callers, and email correspondence; answer general questions regarding Human Resources policies and procedures.
- Assist with the preparation of staff meetings, professional development programs, and special Human Resources department events; order food service, audiovisual, room preparation, etc.
- Track and send timely three-month review notifications to department managers to evaluate newly hired employees.
- Process verification of employment requests.
- Manage the Tuition Remission approval process in conjunction with Financial Aid.
- Process unemployment claims.
- Process invoices for payment in the procurement system.
- Ensure that Human Resources files and records are maintained in accordance with university policies and procedures.
- Compose, edit, type, and mail/email routine office correspondence.
- Receive daily mail, process or re-direct, as necessary.
- Maintain office supply stock for Human Resources.
Other Responsibilities
- Assist Benefits Manager with the coordination of the Benefits Fair and/or other duties.
- Assist with the distribution of HR related mailings to staff and faculty.
- Work cooperatively with the Payroll Administrator and the academic administrators.
- Perform other related duties as required.
Requirements
- A minimum of two years of human resources administrative office experience and/or general office management experience; Bachelor’s degree preferred.
- Prior experience using Human Resources Information Systems and applicant tracking software is preferred.
- Strong knowledge of computer software programs (M.S. Word, Excel, Outlook) and applications for database management; must possess accurate data entry skills.
- Ability and commitment to maintain strict confidentiality of sensitive information.
- Excellent customer service skills with ability to communicate effectively both verbally and in writing; to establish positive public relations for the department; and to interact with a wide variety of people.
- Must demonstrate a “team player” attitude, be highly organized, display initiative, and thrive in a fast pace environment; attention to detail with ability to follow through on tasks.
- Working knowledge of business English, grammatical construction, spelling, punctuation, and vocabulary and the ability to compose and proofread letters.
- Ability to learn and implement department and university policies and procedures.
- Ability to uphold the University’s commitment to inclusive excellence in a diverse learning community.
- Bilingual/Spanish language proficiency, a plus.
Working Conditions/Physical Demands
- Normal office environment, not subject to extremes in temperature, noise, odors, etc.
- May spend extended periods at terminal, on telephone, or operating other office machines, requiring eye-hand coordination and finger dexterity.
- Regular walking and climbing of stairs to deliver office materials.
- May be required to lift and carry files, documents, records, etc.
