The Human Resources Specialist performs a variety of activities in support of the broader Employee Relations and Engagement Team. This position requires strong analytical skills to determine requirements, analyze data, resolve problems, and ensure data accuracy. Solid project management skills are needed to lead and/or work on a variety of HR projects related to processes and procedures that support performance management, employee engagement and retention, talent development, and employee relations. Responsibilities performed in the position require an individual who is detail orientated, accurate, analytical and able to understand processes and implement changes, able to meet deadlines, and willing to do a wide range of tasks. The role is ideal for a self-starter, who has demonstrated resourcefulness, possesses excellent verbal and written communication skills, strong interpersonal skills, and the ability to prioritize a changing workload. Ability to be a team player is essential, as well as flexibility and adaptability. Position requires judgment and tact in dealing with employees and management at all levels with a high level of discretion and confidentiality.
Key responsibilities of the position include, but are not limited to the following:
System Administration: Serves as System Administrator for the Performance Management module of PeopleAdmin (Full Cycle Online) including; provisioning user accounts, performing annual configuration and testing for performance templates, updating and sending mass communications to employees and supervisors, troubleshooting user access issues, identifying and reporting problems with system functionality to the Director of HRIS, and coordinating annual reporting of performance ratings to the HRIS team for mandated reporting to the UNC System Office. Plans, organizes and performs complex technical duties to maintain the integrity and accuracy of PeopleAdmin User Accounts and reporting relationships. Administers the campus wide online course registration system (Go Sign Me Up). Understands the interface protocol across systems and impact of data entry and system changes.
Full Cycle Performance and Compliance Training Process Coordination: Coordinates probationary and annual evaluation process for all SHRAANDEHRA Non-Faculty. Contacts supervisors responsible for completing annual reviews or probationary reviews. Serves as Subject Matter Expert (SME) for the annual performance process, providing guidance to supervisors' policy and processes as needed. Monitors the Full Cycle Online performance process for 1200+ employees. Creates and utilizes a database to track the number of probationary employees for metrics. Reviews, tracks, and documents, and reports on compliance with mandatory training for employees and supervisors.
Administrative Coordination: Processes budget transaction requests for products/services and provides support for events. Maintains supplies as needed. Provides customer service, assists with guiding employees through various human resource processes, and answers related questions. Maintains unit website pages. Assists with marketing and communication initiatives. Assists with management assessments and audits; prepares reports and documents, collects, and analyzes data, updates a variety of reports and tracks confidential information. Creates ad-hoc reports requiring knowledge of Excel, such as formulas, use of VLOOKUPs, and pivot tables/charts. Performs other related duties and projects as requested.
Learning Coordination: Communicates/schedules learning programs for Campus Training Partners and HR staff using the online course registration system and updates corresponding webpages. Reserves space for training locations and arranges catering. Sends out email communications for all Dare to Learn Academy programs. Assists in the planning, coordination, execution, and evaluation of training and development programs. Sends out surveys, collects and organizes data/ feedback, and prepares reports. Coordinates scheduling for professional development programs and provides technical support for large meetings (producer, video production, and other support) as requested.
Event, Recognition, and Engagement Coordination: Organizes and plans recognition, employee engagement, and community service related events and performs associated activities including, room reservations, maintaining website, coordinating catering, gift selection process and communications, attendee communications, and certificate preparation, etc. Builds community partnerships that connect department retreat requests with community service opportunities. Researches, innovates, and implements new recognition and community service-learning best practices and initiatives that increase employee engagement and retention.
Minimum Education and Experience Requirements:
Graduation from a four year college or university; or an equivalent combination of training and experience.
One-year HR Assistant/Administrative experience in a public higher education setting
Excellent verbal, written and positive interpersonal communication skills to communicate effectively with team members and other stakeholders at all levels of the organization
Ability to work successfully in a team environment and build effective working relationships inside and outside the team
Knowledge of HR laws affecting policies and procedures
Ability to demonstrate a high level of professionalism, exercise discretion when handling sensitive information and maintain confidentiality
Ability to work with a sense of urgency
Results oriented with strong sense of initiative
Strong analytical skills to examine and test business processes; recommend improvements that improve operational efficiencies
Strong ability to plan, organize, follow up/follow-through, be attentive to details, manage time and meet deadlines while managing multiple HR tasks, functions and changing priorities independently
Ability to work under pressure, handling ambiguity, and completing work with accuracy
Ability to use systems and extract, compile, review and present data and information
Experience with the PeopleAdmin Applicant Tracking System or other comparable system
Experience with Banner or other comparable system
Ability to explain software use, databases, and related forms and tools to campus users
Experience with creating surveys, data collection, exporting and reporting data
Strong technical ability and proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, Forms, SharePoint, etc.,); virtual meeting platforms (Teams, Zoom, WebEx, etc.,)website management systems (Cascade, etc.,) room reservation systems (EMS, etc.,) and interest in continually learning and using new software/platforms/programs
