About the Position:
The Human Resource Representative plays an integral role supporting the recruiting function and contributes to the overall success of the SMU HR Department. This role provides a high level of support to the HR Business Partners (HRBPs) and various members of the HR staff. This position will be working closely with talent acquisition and talent management, however, will also be asked to serve on various cross functional teams and support the HR department as a whole.
This position is responsible for providing administrative and project assistance and interacts with various business leaders, business units, employees and candidates.
With guidance and oversight of the HRBP, assist in many aspects of the staff talent acquisition process and management of routine talent acquisition transactions. Including: job postings, application and resume review, candidate screenings and initiation of required pre-employment screenings.
The HR Representative will manage a variety of activities, communication and outreach on behalf of the TATM Team including: candidate correspondence, website management, external advertising, participation in career fairs, candidate assessment set up, front desk support & other activities representing the HR Department and TATM Team. This position serves as a primary contact for all new employee inquires.
Works with the HRBPs to initiate the on-boarding process for new & transferring employees. Including: initiating pay forms, ensuring completion of pre-employment checks including references and background checks, and creating and distributing new hire documents. This position also supports the faculty on-boarding process ensuring completion and compliance.
On a rotation schedule, facilitates New Employee Orientation for new benefit-eligible staff, faculty, and post-docs.
Processes new hire paperwork, employee data forms, I-9 processing and ensures accuracy and compliance.
Assists with the temporary hiring process by working with Kelly Services and various campus partners. Ensures successful on-boarding for temporary staff, creation of SMU IDs, and troubleshoots any issues.
Serves on cross functional teams in support the HR department and other special projects and assignments, as needed.
Education and Experience:
A Bachelor's Degree and a minimum of three (3) years of work experience is required. An equivalent combination of education and experience may also be considered.
Previous experience working in an administrative support role is preferred. Experience in higher education, human resources, and/or recruitment is highly desired.
PHR/SPHR and/or SHRM-CP or SHRM-SCP certifications would be helpful, but not required.
Knowledge, Skills and Abilities:
The ideal candidate will have strong verbal, written and interpersonal communication skills with a strong customer service orientation. Time management and organizational/planning skills are necessary for the role. Candidate should have strong discretion and have the ability to maintain confidential information.
Project management skills and a strong attention to detail are also key for the position. Candidate should be an innovative problem solver and have a working knowledge of relevant regulations applicable to employment (FLSA, background checks, etc.) and immigration laws and visas. Candidate with previous experience with HRIS systems and applicant tracking systems, specifically, Taleo, preferred.
Candidate must demonstrate ability to learn new technology and adapt it to improve the efficiency and effectiveness of work processes.
Proficiency in MS Office required(MS Word, Excel, and Outlook.)
Working knowledge of HRIS and ATS (PeopleSoft and Taleo) is preferred.
Experience with web page development/maintenance (Sitecore, Wordpress) preferred.
