The purpose of the HR Administrative Assistant (HR Admin) is to be accountable to administrative tasks in the human resources department, supporting HR leadership. The core job responsibilities include assisting HR leadership with various administrative tasks, including but not limited to: monitoring shared email boxes (and acting accordingly), responding to employee inquiries or triaging to the appropriate team member, assisting in all company audits (SOC, Client Audits, HIPAA, etc.), tracking and managing the administrative tasks with Visa sponsorships, and assisting with responses to Employment Verification requests. The HR Admin will also enter employment data into our HRIS (Dayforce) to update employee records, process transfers and manager changes, etc. This role will also assist with other HR projects as needed.
What you will do:
Utilizing your customer-service and friendly attitude, reading and responding to employee email inquiries to HR shared mailboxes - and triaging questions to appropriate person to respond
Working with compliance team on ConnectiveRx audit requirements, including tracking down and forwarding documentation and employee records
Data entry into Dayforce, our HRIS, to process transfers and employee changes; data entry into Manage Engine, our IT service desk, regarding employee access and equipment needs
Work with HR Leadership on projects and programs and other assignments
Administering Visa sponsorships for employees and new hires, communicating with legal team
Acting as backup (PTO or high-volume times) for recruiting and onboarding, benefits and leave admin team, employee relations associates, with ability to quickly learn HRIS processes
Booking travel and reserving meetings; coordinating onsite meetings including catering
Working with other departments like reception, IT and facilities on office and employee issues; Sending communications to other employees in the organization including management team members; Responding to employment verifications (employment information, loan requirements)

What we need from you:
Bachelor's degree in business with a course emphasis in HR, or internship within an HR department.
At least one year of fulltime experience in a professional office setting in a similar role required; one year of human resources experience (or an internship in HR).
Knowledge of HR processes, programs and policies. Ability to understand and interpret HR policies. General employment law knowledgebase.
Strong organizational skills, excellent MS Office Suite skills, especially Outlook (including calendar), Word and Excel; ability to organize files in a shared drive (SharePoint); strong organizational skills; excellent written and verbal communication skills; problem solving skills or ability to think of solutions when running into a barrier; experience with HRIS systems and HR workflows.
Must have experience scheduling meetings for multiple people; experience working with senior and executive management team members; experience with and ability to maintain highly confidential information; experience with employee onboarding and offboarding processes strongly desired.
