Provide professional and administrative support to the Vice President and ensure full office management, appropriate scheduling, oversees and completes all tasks to ensure the office is effectively represented and is meeting the demands of the Einstein community.
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner;
Manage correspondence, acknowledge receipt, and research and draft responses for VP;
Oversee coordination of committee meetings, scheduling, arrange for meeting locations, gather input and draft agenda, send confirmations, and ensure that minutes and meeting materials are received and distributed in a timely manner;
Gather input and manage HR department wide calendar of special events and annual communications, coordinate with other HR staff to ensure VP is appropriately scheduled and represented;
Assist VP to publish HR scorecard including collection of all input to scorecard and other metrics;
Responsible, in partnership with Employee Relations, for the planning and execution of all major HR recognition and engagement events; research and develop pipeline for new ideas for expansion of employee recognition opportunities. Responsible for managing all internal HR events including semi-annual retreat programs and monthly HR planning meetings.
Develop and maintain new archiving system for VP ensuring timely filing and retrieval of materials as required;
Handle all facilities requirements for the Belfer 12th floor and HR; responsible for HR procurement and handles all reimbursement requests and special arrangements, i.e., travel, for VP and HR leaders. Assist with budget preparation and monitoring.
Responsible for the maintenance of HR website(s) and oversees development of content and ensures high quality presentation and employer branding.
Works closely with all HR areas and HR web team to execute external communication and branding strategies.
Coordinates with Creative Service and Webrunners team to keep HR website design elements fresh and aligned with overall Einstein web designs.
