We are seeking a dynamic and experienced professional to manage our HR and payroll functions. The Human Resources/Payroll Manager is responsible for the ongoing development, management and implementation of the HR functions, as well as processing payroll on a semi-monthly basis. This position reports to the Controller and also works closely with the Head of School and Chief Financial and Operations Officer (CFOO).
Essential Job Functions:
Manage the entire hiring process including posting job vacancies, collecting and distributing resumes, training hiring committees, distributing hiring materials, and preparing offer letters for candidates
Maintain and update all job descriptions
Manage the employee lifecycle, offer letter and on-onboarding through separation; maintain personnel records in accordance with Federal and State requirements and best practices
Administer the School’s group benefit plans, including reconciling benefit statements
Manage Open Enrollment process
Generate employee compensation memos
Review and collaborate with legal counsel on updating the Employee Handbook; manage related employee acknowledgments
Manage Affordable Care Act compliance and reporting
Prepare and manage employee leave plans (FMLA, CFRA, unpaid, etc.)
Respond to EDD claims, unemployment insurance claims, and complete employment verifications
Ensure School is in compliance with mandatory training requirements (e.g. harassment prevention) and recommend other employee/supervisor trainings as appropriate
Manage and coordinate the Annual Performance Review and Professional Growth and Evaluation process for faculty and staff
Assist Head of School and supervisors with documenting poor performance and violations of School policies and procedures and other personnel matters
Lead investigations into sensitive HR related matters
Coordinate supervisor and faculty/staff trainings in collaboration with the Controller, CFOO and Head of School
Ensure the School’s compliance with local, State and Federal regulations
Manage timesheet submission and time off reporting, including appropriate internal controls over the process
Process and submit semi-monthly payroll (currently using ADP WorkforceNow); distribute paychecks
Prepare semi-monthly 403(b) employee and employer contributions report (TIAA)
Manage annual Workers’ Compensation payroll and 403(b) audits
Special reporting to outside agencies as needed
Attend staff meetings as required
Assist with other functions of the Business Office as needed
Additional projects or tasks as assigned by the Head of School, CFO/COO, or Controller
Desired Experience, Qualifications, and Skills:
Bachelor’s Degree; HRCI, PHRca, or SHRM certified preferred
Familiarity with California employment and labor laws
Minimum five years HR and payroll processing experience, preferably in a non-profit or educational setting
Proficient in ADP WorkforceNow, MS Office Suite, and Google G-Suite
Excellent interpersonal and communication skills, both oral and written
Detail-oriented, flexible and organized; demonstrated initiative
Strong collaboration and teamwork skills, while also able to work independently
Ability to adjust priorities and meet deadlines
Ability to maintain strict confidentiality

Schedule and Hours:
This is a full-time, exempt position. Standard hours are 8:30 AM – 5:00 PM Monday – Friday.
