Woodlands Academy is seeking a Human Resources Coordinator. The Human Resources Coordinator reports to and works closely with the Chief Finance and Resource Officer. The Human Resources Coordinator is responsible for coordinating HR administration in areas such as new hire onboarding, health benefits, compliance, and general processes. This role will have flexible hours.

Act as Site Administrator for the Archdiocese of Chicago’s Office for the Protection of Children & Youth – Complete annual audit, send reminders/updates to faculty, staff, and volunteers to complete required trainings and paperwork
Post open positions on all affiliate websites and assist with the hiring process
Prepare offers, employment agreements, and salary and benefits updates
Create, maintain, and audit all employee files to ensure compliance
Initiate and process new hire paperwork, including I-9s
Manage volunteers in Virtus to ensure compliance
Enter and manage all employees in ePlan/LeasePlan, Virtus, Employee Navigator, Paylocity, etc.,
Complete Administrative tasks that include filing paperwork, updating policies and employment verifications
Communicate benefits information to employees, such as open enrollment of health insurance, flexible spending accounts, retirement account setup, employee assistance program, etc.,
Serve as initial point of contact for employee questions/concerns about HR topics such as benefits, payroll, company policies, time off, etc. Escalate questions or issues to Chief Finance and Resource Officer
Verify employee paid time off in Paylocity to ensure accuracy
Develop and coordinate engagement activities and/or be a member of the Social Committee
Assist with processing of new hires and terminations
Conduct phone screens and exit interviews of voluntary terminations as needed
Prepare reports and correspondence as needed
Assist with managing special projects
Perform other duties as assigned by management
Bachelor’s Degree , or one to two years of related experience and/or training, or equivalent combination of education and experience
Computer skills required: Human Resource or HCM Systems, Microsoft Office (Advanced Excel skills preferred)

As the position involves handling employees’ personal information, the coordinator is expected to maintain proper security for all employee files and follow privacy procedures at all times
Strong organizational, problem-solving, and analytical skills, able to manage priorities and workflow
Ability to work independently and as a member of various teams and committees
Acute attention to detail
Ability to deal effectively with diverse individuals at all organizational levels
Good judgement with the ability to make timely and sound decisions
Demonstrated ability to plan and organize projects
Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
