Founded in 1974, William James College is an independent, non-profit institution and a leader in educating the next generation of mental health professionals through counseling and psychology graduate programs and an undergraduate completion program. The Human Resources Assistant reports directly to the Senior Director of Human Resources. The ideal candidate will maintain a strong customer focus, support the College’s commitment to diversity, practice and promote teamwork, maintain confidentiality, adhere to high standards of personal conduct and maintain and enhance professional/job competency. This is a campus-based, full-time, 35 hours/week position.
Assist in the recruitment process including, posting jobs, follow-up on status of jobs & ensuring compliance in the hiring process. Also, coordinating and scheduling interviews for search committees and hiring managers, and conducting background and reference checks
Assist in the new hire onboarding process, from preparing new hire packets to coordinating new employee orientation meetings
Maintain personnel files, including archiving and conducting audits to ensure employee files are accurate and in compliance
Ensure I-9 documents are accurately maintained and complete in accordance with federal regulations
Provide support for the yearly performance review process, review and track incoming performance appraisal forms
Provide customer service by responding to phone calls and emails within 24-36 hours
Serves as a resource regarding human resource related matters, effectively communicates human resource policies, and explains human resource processes and procedures. Resolves basic issues as appropriate
Provide general administrative support for the Human Resource Department
Process bi-weekly student payroll
Assist in updating the Employee Handbook as needed
Assist with planning and execution of Human Resource related events
Maintain the college’s organizational chart
Represent the Human Resource Department on college wide committees
Other duties as assigned
Associate’s degree in Human Resources or related field and 2 years’ experience in an administrative role or equivalent combination of education and experience
Prior experience in higher education preferred
Ability to handle confidential and sensitive information professionally and discreetly
ADP familiarity a plus
High proficiency in Microsoft Office suite knowledge, in particular Outlook, Word, Excel; Visio is a plus
Excellent oral, written communication, interpersonal and customer service skills
Ability to multi-task and meet deadlines under pressure
Ability to serve as a liaison for HR department when interfacing with internal and external partners
Applicant must be able to assume employment in the U.S. without College sponsorship
