The Human Resources Associate performs a variety of HR-related duties on a professional level and works closely with senior HR and department management along with mission leaders supporting the Research & Academic Mission.
They support internal customers (HR team members, hiring managers, department leaders, workforce members/employees, volunteers, other HR functional area team members) and external customers (prospective candidates/employees, vendors and community members) in the recruitment, selection and pre-hire process. Additionally, they serve as a contact for general human resources questions and triage inquiries from leaders and employees on a variety of human resources matters.
The Associate uses multiple computer applications and databases and communicates with a wide variety of customers to ensure job requisitions are thoroughly completed and positions properly posted for recruitment. They provide administrative and recruitment support, and ensure timely and accurate completion of assignments and provide excellent customer service. This position serves as a resource for recruitment, hiring and onboarding information for both internal and external customers, delivering exceptional customer service, communicating best practices in the process and keeping apprised of organizational updates.
The HR Associate is an essential contact who assists in answering and/or triaging a wide range of inquiries. These inquiries often include, but are not limited to: applicant tracking system (iCIMS) questions, job posting questions, approval process for various actions, recruitment process questions, pre-hire inquiries, background check process and policy questions, locating essential forms for employees and candidates, locating HR policies, HR records inquiries, identifying appropriate functional area of HR for complex questions.
Ensures timely posting of jobs using the ePAR system (electronic position approval request), and applicant tracking system (iCIMS) following organizational policies and procedures and collective bargaining provisions, consistently meeting service level agreements. Provides coaching to hiring managers and their admin support on required workflows and approvals. Updates information on recruitment statuses in applicant tracking system as requested by hiring manager. Creates assessments in applicant tracking system and attaches to requisitions to support the effective management of the applicant pool. Manages shared mailbox in Outlook, triaging and responding to inquiries. Provides support in advertising open positions, upon request.
Upon request, performs resume and application screening of qualifications, updates applicants statuses in applicant tracking system, prepares electronic offer letters for new hires. Assists hiring managers with process, educates on best practices in recruitment and selection, provides training to hiring managers and their administrative support as needed. Supports process for priority search under ADA and provides support in PHL process. Attends career fairs as needed, provides information to prospective applicants on job opportunities and provides resume guidance.
Ensures timely and thorough completion of the background check and drug screening process for hires, employee transfers and volunteers. Carefully manages cases ensuring completeness, addressing any discrepancies and problem solving issues. Manages communication with vendors, candidates, hiring authorities and their support staff; coaches on steps necessary to complete background check process and timelines, to ensure a smooth process and ability to meet anticipated start date. Evaluates the results, does appropriate research and makes determination on the status of the results. There is a wide variety of scenarios and when issues arise, it is rather complex, thus it requires a high level of decision making and problem solving to determine next steps in the process. Coordinates with Public Safety and HR Business Partner, on the cases that require escalation. Ensures timely and accurate documentation of findings and careful security of information.
Primary generalist support for Schools and departments that are understaffed or going through an organizational change. Duties include implementing processes and procedures, training staff on HR systems and processes, on boarding and transactional HR work. Trains departments on various Oracle applications for HR actions ranging from new hires to job changes/terminations to one-time payments. Triages HR related inquiries.
Supports coordination of new hire relocation on behalf of the hiring department, in collaboration with contracted vendor.
Completes projects, participates in process improvement activities, ie. process workflows, cross mission HR project teams, committees. Supports training of hiring managers. Provides recruitment reporting as scheduled and as requested.

Bachelors degree in business, human resources or related field, or equivalent combination of education, experience and training.
Minimum of 2 years experience as an HR Generalist or Specialist which included providing recruitment support.
Professional customer service skills, including well demonstrated skill in verbal and written communication.
Intermediate skill level in MS Office suite; experience using databases, ability to enter data and produce simple reports.
Demonstrated ability to employ sound critical thinking skills, manage competing demands and prioritize work appropriately.
Demonstrated attention to detail and excellent organizational skills.
Experience working in an environment that manages confidential information.
Experience working independently as well as a member of a team.
Working knowledge of state and federal employment laws and understanding of the role of collective bargaining agreements.
Must be able to perform the essential functions of the position with or without accommodation.
Experience in human resources, talent acquisition, employee relations or staffing.
Experience providing recruitment support including screening employment applications and resumes for minimum qualifications,
coordinating interviews, placing advertising.
Experience interpreting policies and their application
Experience using an applicant tracking system.
Work is performed in typical office environment; position may telework for part of work week.Work is generally performed Monday through Friday during core business hours. May need to work beyond standard hours to perform work duties, meet deadlines or attend job related events or meetings.
Ability to travel throughout campus or off campus for meetings. Travels within the city for events. Uses office equipment to perform work.
