Under the general direction of the MNPI HR Manager, this position manages HR operations for the departments of Microbiology & Immunology, Neuroscience, Pharmacology and Integrative Biology & Physiology which make up the MNPI Administrative Center in the Medical School. This position supports the University and Medical School HR initiatives by consulting/partnering with MNPI departments in the areas of training and development, talent management and compensation. This position in partnership with the MNPI HR Manager, will manage the recruiting/hiring activity of all professional staff, employee/labor relations, policy interpretation and guidance along with classification and compensation. This position will work in partnership with the MNPI HR Manager to provide the highest level of HR Service to the departments within the MNPI Admin Center and work as a liaison between the Center, Medical School HR, and the University Office of Human Resources to achieve day-to-day operational goals.
30% Staffing and Onboarding
Partners with department leadership on aspects of the recruitment and interview process for faculty, staff and students; participates in and recommends advertisement strategy and coordinates with advertising agencies; works with managers on position description development with classification determination, position management, and online job posting process; screens and interviews applicants as assigned; links job opportunities with networks to attract diversity; partners with HR manager and MNPI Finance on terms of offers, offer letter creation and distribution. Finalizes job and HR files for records retention.
Assist hiring managers with resources and training on Diversity, Equity, and Inclusion (DE&I) recruitment initiatives and best practices to further the DE&I mission of the Medical School and University
Manages the new hire on-boarding process, works with the department on coordinating first day of hire and participates in new hire orientation and all HR related activities
Serve as I-9 lead for assigned departments, ensuring compliance with all federal, state, and university policies
Reviews and makes recommendations for process improvement, recruitment programs, and orientation enhancements.
Assist supervisors on submission of reclassification/promotions, in-range adjustments, retention, merit and equity salary increase requests.
Develops and maintains strong working relationships with OHR Staffing and HRMS teams.
Handles termination logistics to include offboarding and exit interviews.
20% Compensation and Classification
Work directly with supervisors to ensure all positions are properly classified and compensated to address recruitment and retention issues
Assist unit staff in identifying appropriate job classifications and starting salaries
Operate as unit expert on job reclassifications, review and submit reclassifications and JEQs, Liaison with OHR Compensation dept and consultants
Provide job function consulting and job classification analysis to support and resolve complex compensation and classification issues.
Research, analyze, prepare, determine, & recommend salary analysis/compensation for job reclassifications, promotions, in-range adjustments, augmentations, transfers, and demotions
Draft letters and memos for salary adjustments, augmentations, etc as directed by HR Manager
30% Employee Relations
Advise on employee relations issues and provide guidance on policies and procedures. Meet with individuals and unit staff as necessary to investigate and recommend solutions to workplace behavior issues; consult with center HR Manager and Med School and OHR Consultants on the resolution of complex issues regarding policies, procedures and HR issues.
Interpret P&A, Civil Service and Labor-Represented rules and contracts. Assure compliance with Labor Represented agreements, Civil Services rules, P&A, Post Doc and faculty policies, layoff/non-renewal, overtime, and termination policies.
Keep up to date on employee rules, contracts and policies.
Annual performance administration for Microbiology & Immunology, Neuroscience, Pharmacology and Integrative Biology & Physiology. Work with supervisors to ensure probationary and annual performance reviews are completed for all Labor Represented, Civil Service and P&A staff. Provide supervisors with resources to accurately review performance in conjunction with the HR manager.
15% Benefits and Visa Administration
Serve as primary employee benefits contact for faculty and staff for departments of Microbiology & Immunology, Neuroscience, Pharmacology and Integrative Biology & Physiology; explaining benefits programs, COBRA, working with Employee Benefits on behalf of employees
Consult and advise supervisors/managers and employees regarding policies, procedures, leave cases, and accommodation requests, serving as the point of contact for leave requests including, but not limited to, FMLA, parental, medical and vacation/sick/personal holiday leave.
Assist in communicating benefit plan updates and changes to employees.
Serve as primary contact for departmental J-1 and H-1B Visa initiation and finalization, including, but not limited to, identifying appropriate visa type, gathering documentation, communicating requirements with supervisors and visa holders, onboarding new employees on visas, I-9 processing for visa holders, etc.
Liaise with Medical School visa specialists on complex visa issues and application processing.
5% Other duties as assigned
Facilitate HR information sessions for faculty/staff alongside HR Manager to increase visibility and knowledge among center employees.
Serve on Med School/University wide committees and workgroups relevant to human resources and participate in special projects as needed
All required qualifications must be documented on application materials
BA/BS degree in Human Resources or related field and two years of professional experience or a combination of related education and professional HR work experience to equal 6 years.
Experience with Google Suite and Microsoft Office Applications
Demonstrated ability to work with a team of colleagues who represent a diversity of work and conflict resolution styles
Must be able to work independently, efficiently, and accurately with minimal supervision
Demonstrated experience working with multiple shareholder groups in an effective and organized service-based role
