Under supervision of the Academic and Staff Human Resources (AP-HR) Manager, the Payroll/Personnel HR Assistant will serve as divisional timekeeper, process graduate student researcher, volunteer, and student appointments, and serve as a Department Security Administrator (DSA).
The Payroll/Personnel HR Assistant manages all aspects of timekeeping for monthly and biweekly employees (academics, staff, students), and prepares/maintains multiple timekeeping and audit reports. Performs key entries in UCPath, provides general administrative support to the AP-HR unit, and handles new hire processing for graduate student researcher appointments.
Troubleshoots and resolves timekeeping and payroll issues, in coordination with Payroll, the Ecotime team, UCPath Center, and other relevant units. Attends meetings and trainings on timekeeping and payroll to keep up-to-date and provide feedback to campus units. Liaises internally with supervisors and faculty as well as other campus departments to facilitate many unit-specific processes, such as graduate and undergraduate student employment, volunteer appointments, active and terminated personnel file management, and database maintenance. Provides assistance on staff limited appointments, postdoctoral scholar appointments, and staff recruitments as needed. As DSA, proactively works with IT unit on affiliate access to online systems and divisional buildings. Coordinates service credit process for divisional staff employees. Assess and recommend modifications to existing AP-HR and payroll processes and procedures, among other duties as assigned.

Proven ability to analyze complex pay records, personnel forms and payroll time records to initiate payments and prepare timesheets.
Strong customer service skills with the willingness and ability to embrace and consistently practice our commitment to client service.
Proven experience with timekeeping and payroll reporting processes, including overtime and audit reporting.
Knowledge of employee benefits, FICA, retirement, general IRS regulations, etc. Knowledge of employee citizenship and visa requirements, lawful permanent resident and alien authorized to work in the U.S.
Basic understanding of human resources policies and programs. Ability to interpret policies and procedures relevant to payroll and employment for represented and non-represented employees.
Demonstrated strong written and communication skills to interact effectively with diverse groups of people at all levels in an environment with changing priorities and deadlines using diplomacy and tact. Demonstrated skill to define complex procedures and actions.
Demonstrated excellent writing and composition skills to produce reports, write procedures, correspondence, and documentation. Excellent proofreading skills to check accuracy, clarity, grammatical and syntactical correctness and continuity.
Excellent organizational, analytical and problem solving skills to independently coordinate all details of a project ensuring that all deadlines are met. Skill to organize and prioritize large volumes of material to meet established deadlines.
Ability to maintain confidentiality, to work independently and exercise good judgment to identify problems and recommend reasonable course of action for problem resolution.
Demonstrated ability to learn new methods for computer aided data reporting/retrieval, new computer applications, data and word processing software and relational database systems. Demonstrated skill to extract, compile and analyze data to write clear and concise reports.
Skill using standard computerized, networked business applications: word processing (e.g. Microsoft Word), spreadsheet (e.g. Excel), communications and scheduling (e.g. Outlook), with the willingness and ability to expand and update skills as needed.
Occasional overtime as needed.
