The UCPath Center is the University of California's shared services center in Riverside, CA. The UCPath Center manages the payroll, benefits, and other human resources transactions for more than 200,000 UC employees working across ten UC campuses, five medical centers, three national labs and more. The University of California Office of the President (UCOP) is facilitating the development and implementation of a new systemwide combined Human Resource Information System (HRIS) and payroll system, and the systemwide shared service center, called the UCPath Center. The UCPath Center in Riverside will provide service to over 200,000 UC employees, and process selected payroll, benefits, academic personnel, leave management and workforce administration transactions for all of the UC locations.
The Human Resources (HR) Coordinator provides support to the UCPath Center HR team and UCPath Center employees. The HR Coordinator is responsible for all actions regarding the employee lifecycle. This includes but is not limited to: generating offer letters, preparing job descriptions for compensation review, preparing, sending, tracking and processing new hire paperwork, all employee actions entry into UCPath online, scheduling employees for new hire orientation, leading new hire orientation sessions, securing workstations for new employees, preparing offer request packets for review with various offices, process terminations, ensure network access is eliminated when needed. Answer a variety of questions from employees regarding all aspects of the employee lifecycle. Maintain personnel folders and records. Make sure compliance postings are up to date. Liaison with union representative on routine issues; scheduling conference room and employee time for meetings with the union. Prepare and analyze reports as requested. Work on projects as needed and under the direction of the human resources business partner. The incumbent will report directly to the Compensation Manager.
Employment Initiates and processes all new hire paperwork. Prepare offer letters. Generates communications to new hires to begin onboarding process. Responsible for the integrity of all paperwork and compliance for new hire documentation. Conducts new hire orientation. This includes scheduling orientation meetings and reserving rooms, and presenting. Communicates with all departments and personnel involved in setting up new hires for success: IT, training, safety, facilities etc. Serves as the ambassador to new employees by providing a welcoming environment. Off-boards employees ensuring proper policy and procedures are followed and the transition is smooth for all parties. Identifies opportunities to improve Local and/or UCPath Center Human Resources processes and makes recommendations for improvements.
Data Entry and Support Inputs all HR transactions into an employee data system (like PeopleSoft HCM) for UCPath Center employees. Act as back-up support for Oakland HR Admin, when necessary. Assist HRBP in creating surveys and orders for awards. Participate in process improvement projects and assist in preparing procedural changes. Assist in the logistical and administrative needs for employee forums.
Compliance, Policy and Procedure Responsible for ensuring employment postings are up to date. Ensures that employees receive 90 day and annual performance evaluations on time. Maintains and inventories local ergonomic equipment. Constructs and maintains personnel folders in compliance with regulatory bodies. Provides UCPath Center employees with standard information regarding UCOP and UCPath Center HR practices and procedures.
Knowledge of HR processes and procedures for maintenance and purging of personnel files and employee records.
Skill in managing sensitive and confidential information regarding employee relations or labor relations.
Excellent written skills as demonstrated by the ability to draft, edit, and proofread correspondence, reports, and other documents in appropriate format, tone, language, and grammar. Active listening skills to ensure that important points are noted and clearly communicated.
Must have excellent customer service skills and ability to work collaboratively and productively with staff with varying work styles and personalities in a team-oriented environment.
Must be a self-starter and must be able to coordinate and prioritize multiple tasks.
Intermediate skill with Microsoft Office Suite
Knowledge of HR processes for data entry into HCM, ERP, ATS or other HRIS system.
Knowledge of UC benefits eligibility requirements. Working knowledge of University of California HR policies, procedures and terminology including, but not limited to office administration, classification and recruitment, employment, compensation, payroll processing, leaves of absence and benefits. Working knowledge of employment laws and the principles and practices of human resource administration.
High school diploma and two (2) years of progressively responsible administrative experience, preferably in the human resources environment.
SALARY AND BENEFITS
Salary: The recommended hiring range is $54,000.00 to $62,600.00 annually. Commensurate with experience.
