We are a leading performance marketing agency who is seeking an extremely detailed, efficient and trustworthy person who will be responsible for leading office operations, bookkeeping, and benefits administration. The position requires someone who is highly analytical, skilled at multitasking, and has strong communication and interpersonal skills to work constructively with all levels of the organization.
Onsite required 5 days a week for the first 60 days. Onsite required at least 3 days per week ongoing.
Benefits and HR Administration:
Maintains up-to-date knowledge of federal and state employment law and compliance requirements.
Coordinates open enrollments, changes, and training for employee benefits programs with the HR Systems Administrator.
Creates employee relations protocol and response to human resources-related inquiries from employees.
Manages employee relations and creates a process to address complaints regarding sexual harassment, discrimination, or other instances of workplace harassment and assist in any necessary investigations and disciplinary actions.
Creates and distributes internal communications regarding status changes, benefits, or company policies.
Audits and creates standardized management and filing of employee personnel records.
Administer performance improvement plans in conjunction with leadership team
Manage and administer COVID-19 related communication and policy enforcement
Perform background and reference checks
Help manage our recruiting ATS as well as connected background and assessment tools.
Billing and Bookkeeping Administration:
Manage accounts payable/receivable
Maintain accurate AP/AR records
Head day-to-day management of billing accounts
Assist with invoicing client projects
Check mailbox daily, deposit checks at the bank and mark invoices paid in Quickbooks
Reconcile bank accounts and manage bank feeds
Manage Bill.com to ensure company bills are paid
Credit Card reconciliations
Prepare financial statements
Prepare books for the accountant
Manage outside bookkeeping vendors
Manage insurance policies
Office Operations Duties:
Act as the Office Manager in terms of stocking snacks, drinks, etc.
Manage and maintain equipment and office supply inventory and budgeting
Be the main point person for the building for landlord, property manager, and building IT department
Order team lunches as needed
Book travel arrangements for client meetings and/or out-of-state employee travel
Manage and maintain onsite teleconference equipment and training for team
Manage CEO’s calendar and schedule meetings as needed
Assist the Leadership team in planning company wide events or management level events
Your Experience and Skills Look Like:
Human Resources Qualifications/Skills:
Minimum 3 years demonstrated human resources experience.
3+ years in Employee Relations
Understanding of state and federal employment regulations.
Experience with HRMS/HRIS systems.
Experience with ATS in the recruiting process.
Experience with LMS in supporting talent development & training.
Experience conducting exit interviews and recommending corrective action if necessary.
Understanding of personnel and compliance records management.
Experience with startups, tech firms, and/or heavily distributed workforce preferred
Experience developing team building programs for remote teams
Business Operations Qualifications/Skills:
1-3 years of bookkeeping experience (professional office experience preferred)
Proficient with QuickBooks Online
Proficient with Excel/Google Sheets/Google Hangouts/Zoom/Slack
Strong communication skills with an ability to communicate effectively across multiple levels of an organization
Thoroughness and attention to detail
Ability to multitask and work independently
Proven experience interacting with clients
Ability to maintain confidential information
