This position provides administrative support to 2-3 Vice Presidents in the Human Resources organization (VP, Human Resources, VP, Total Rewards, VP/CDEI Officer. These executives considers the associate to be an essential member of each of the leadership teams reflecting the values, engagement, and professionalism of the organization. The associate will manage relationships and communicate with members of Rockwell Automation Leadership, management and other employees. Work is often of a highly confidential nature and requires attention to detail, proactive action, management of multiple priorities and implementation with minimal direction.
With very little direction, compose and prepare correspondence, reports, and various communications of a highly sensitive and confidential nature using presentation software (Powerpoint) and/or spreadsheet software (Excel).
Assist Vice President and departmental managers with special projects including data tracking, analysis and auditing.
Support the Total Rewards (compensation/benefits) team with processing of invoices
Arrange meetings, local and offsite, ensuring that all logistics including audio-visual equipment and network connection requirements are met. Arrange for refreshments and food as required. Prepare agenda and meeting minutes if necessary.
Prepare and keep up-to-date calendars and daily schedules for executive. Review, screen and direct mail and telephone calls. Always be looking forward to proactively handle any conflicts and accommodate changing priorities. Provide prompt, customer-oriented service to all callers and visitors, solving their requirements without executive whenever possible.
Schedule internal/external interviews as needed for hiring managers, playing a key role in ensuring a successful candidate experience for all candidates.
Start initial set-up for new employees reporting up through the supported business executive or as needed within the group, including the scheduling of employees orientation schedule. Work with IT and initiate process for computer and phone installs as well as request necessary new system account access. Coordinate obtaining access to other work tools as necessary, such as conference calling number, mobile phone, company credit card, travel profile, employee badge, etc.
Maintain required files, documents and reports.
Manage office moves and related facilities issues.
Order supplies and manage the delivery and repair of office equipment.
Process invoices and complete expense reports as required.
Copy, fax, scan, shred and mail material as required.
Arrange travel itineraries, both domestic and international. Coordinate international travel with RA contacts and ensure passports, visas, etc. are up to date and correct.
Provide assistance to other administrative associates, including phone coverage and backup support, as needed.
Must be highly professional and have excellent verbal and written communications skills.
Must be able to balance many priorities/demands effectively.
Must be able to act professionally while dealing with highly sensitive, confidential employee information.
Must have a positive outlook during periods of high demand.
Establish and maintain strong, positive and collaborative relationships with personnel throughout the organization as required to effectively execute job duties.
Able to proactively manage competing demands on the executive's time.
High School Diploma or equivalent
Legal authorization to work in the US is required. We will not sponsor individuals for employment visas, now or in the future, for this role.
Human Resources related courses or a two year degree a plus.
Minimum of four years of related experience. Must have excellent communication and organizational skills.
Well-developed computer skills including Microsoft Office (Microsoft Word, Excel and PowerPoint).
Proficiency in the use of Microsoft SharePoint is preferred.
The ability to compose a customer-quality PowerPoint presentation is a benefit.
