Provide administrative support to the Office of Human Resources in a variety of related tasks including HR communications, employee data maintenance, tuition benefit processing, leave processing, workers' compensation, and similar responsibilities. Perform recruitment-related responsibilities, including scheduling candidates, assist with the applicant tracking system (ATS), and other duties to support talent management. Serve as the primary contact for the HR office, demonstrate exceptional customer service, respond to general inquiries, and triage calls as appropriate.
Essential Job Functions:
Perform general administrative office support including answering phones, responding to inquires, and triaging calls as appropriate; greeting visitors, preparing various correspondence and reports; managing office supplies and processing mail, and other administrative tasks. Manage and maintain personnel records. Schedule appointments, manage calendars, coordinate events, and travel arrangements appropriate. Assist with monitoring the department budget; reconciliation and processing invoices. Coordinate the publication of the human resources newsletter. Assist with maintaining the HR website.
Perform recruitment-related responsibilities, including scheduling candidate's interviews, new hire onboarding process, applicant tracking system, coordinate requisitions and postings in workflow; draft employment ads, post jobs internally and externally, respond to applicant inquiries, draft candidate response letters. Troubleshoot technical issues with ATS and assist with problem-solving. Report ATS system issues to the service provider. Work with temporary employment agencies to hire staff, and process timesheets and invoices.
Maintain personal and demographic data for all faculty and staff in the human capital management (HCM)system; assists in maintaining all electronic records, such as job data, benefits, performance reviews, and relevant information. Prepare HR reports as requested by campus offices. Provide basic payroll and administrative processing for employee leave requests as needed.
Coordinate documentation of accident/injury reports, file and monitor Workers' Compensation claims; Troubleshoot claim issues with third-party administrators (TPA) and the Bureau of Workers Compensation (BWC).
Manage the dependent tuition programs; process tuition payments; work directly with accounting and financial aid to confirm and reconcile participants; coordinate GLCA participation with other colleges and GLCA office and reconcile annual records and bills.
Perform other duties as assigned.
High school graduate with a minimum of 5 years of administrative office experience; must be highly organized and able to work within a fast-paced environment; possess excellent customer service and interpersonal skills. Excellent attendance and punctuality required.
Technical proficiency including Microsoft Office Word and Excel and other systems is required. Attention to detail, and the ability to proactively problem-solve; work both independently and with a team, and use sound judgment to coordinate and priortize various activities and tasks. Experience with managing confidential information discreetly.
Associate's or bachelor's degree, preferably in business, communications, or human resources, or equivalent experience supporting a human resources department. Technology experience using human resources information systems and applicant tracking systems.
Pay/Salary: Minimum rate of pay $20.32
