The HR Operations Associate is responsible for supporting the objectives of the organization and the needs of employees and management by providing value-added service and HR support to assigned constituents to include entering and verifying information within the IC HR Cloud, maintaining appropriate documentation and monitoring of personnel records, policies, and procedures, and responding to inquiries from department users concerning HR processes, and to serve as lead for HR Core and ORC modules in IC HR Cloud.
Process all employment transactions to include hire, re-hire, promotion, transfer, retirement, and termination. Process all assignment changes and position changes to include changes to organizational structures, job title, job classification, working hours, and schedule. Verify and update costing changes as needed.
Serve as lead for HR Core and ORC modules in IC HR Cloud. Prepare and publish documentation. Ensure transactions are entered properly prior to payroll runs. Participate in system testing, modifications, and maintenance relative to HR Core and ORC modules. Conduct quarterly patch testing.
Maintain employment records and appropriate documentation for completion of form I-9 within BCIS, Bureau of Citizenship and Immigration Service’s, stated time requirement. Maintain I-9 files in accordance with BCIS regulations. Process backgound checks. Maintain electronic personnel files in Nolijweb.
Assist the HR Business Partners on recruitment, selection, and other employment processes. Schedule interviews and prepare correspondence and documentation to include offer letters and other employment records. Maintain forms and letter templates. Assist the HR Business Partners with orientation and onboarding programs for new employees.
Develop and maintain an understanding of Ithaca College’s wide range of employee benefit and work/life programs and procedures. Back up HR Operations Associate for Benefits and assist with enrollments of newly benefits-eligible employees as well as employees who experience a qualified life status change.
Assist HR Business Partners by working with departments and supervisors to ensure time cards are entered correctly within the appropriate time frame. Coordinate with Payroll to ensure proper processing of payroll.
Coordinate the processing of terminating employees to include scheduling of exit interviews and preparation of related paperwork.
Develop and maintain functional working knowledge of the IC HR Cloud to ensure accuracy and timliness of data entry of personal and employment information and benefit enrollment changes as needed. Develop and maintain reports and analyze statistics regarding employment data.
Manage faculty re-appointment and part-time appointment processes to included collaborating with Dean’s offices and Provost office, ensuring all data is entered into IC HR Cloud, ensure accuracy prior to payroll runs, and make corrections as needed. Process additional pays for summer sessions.
Coordinate identified training and development programming and maintain a tracking system for these programs.
Maintain job descriptions and provide to HR Business Partners as requested.
Coordinate, plan, and implement the annual employee picnic, winter luncheon, all staff, all supervisor, and all other training and development programs. Provide support for special projects sponsored by the Office of Human Resources and participate in other campus events regarding student employment programs as directed.
Document all recruitment and employment processes and maintain the recruitment website. Ensure employment policies are updated in the policy manual.
Keep abreast of key developments, trends, and changes to ensure compliance with federal and state laws and regulations and college policies.
Prepare a variety of reports and analyses reflecting employment activities and statistical data.
Serve as back up to other HR Operations Associates.
Required Qualifications: Associates degree and 2 years related experience or the equivalent combination of education and experience. Understanding of human resource disciplines and federal and state employment laws. Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Strong analytical and problem-solving skills.
