The Shared Business Services Hub provides human resources, payroll and financial transaction processing support to many administrative and academic units on the Danforth Campus. This position serves as the Human Resources/Payroll Specialist to an assigned portfolio of units, processing human resources transactions and payroll cycle monitoring. This position is a subject matter expert, functioning as a primary source of information for departments regarding employee and non-employee appointments and Workday processes and procedures. This position also assists with reporting and analysis of human resources and payroll data.
Primary Duties & Responsibilities
Creates positions and job requisitions in Workday Human Capital Management (HCM) System as applicable.
Enters new appointments for faculty, staff, student workers, non-employee stipend recipients and contingent workers in Workday HCM. Ensure that individuals successfully complete their onboarding processes in Workday, providing assistance, training and information as needed.
Process other online transactions, including data changes, merit increases, supplemental payments, and academic appointment updates.
Coordinate transfers and terminations, confirming accrued vacation payouts and transfers are accurately calculated by the system.
Enter annual stipend level updates for students and post-docs.
Coordinate Leaves of Absence in conjunction with the HR Leaves Team as applicable.
Update absence calendars, track utilization of paid time off and process Return from Leave transactions in the system where applicable.
Completes scheduled payroll processing tasks for both biweekly and monthly payroll cycles.
Confirm compensation amounts and update payroll costing allocations as required.
Manage time reporting processes, including reviewing timesheets for errors and securing appropriate manager approvals. Run required pay cycle reports and review for accuracy and completeness, resolving issues as required.
Process manual check requests and payroll accounting adjustments as needed.
Provides professional and courteous customer service to Academic and Administrative Units supported by the Shared Business Services Hub.
Assist the Shared Business Services Hub Director, Manager and HR/Payroll Workgroup Supervisor in generating personnel/payroll reports as required.
Continually look for opportunity to improve workflow, efficiency and accuracy of transactions.
Participate in pilot projects and provide feedback on system and process enhancements during development and implementation.
POLICIES AND PROCEDURES
Ensure consistency of human resources and payroll practices and adherence to university policies and procedures.Â
Maintain a thorough up to date knowledge of policies and procedures, including the Universityâ™s statement of internal controls and federal, state, local and foreign national payroll rules and regulations.Â
As conditions dictate, normal office environment at the North Campus location in a hybrid schedule that includes days working from home, 37.5 hours per week.
Bachelorâ™s degree in Accounting or related field.
Five years experience with human resources, payroll and financial transactions in an academic environment.
Prefer experience with Workday and Cognos Reporting Systems
Prior experience in a university setting and financial reporting systems.
Demonstrated ability to modify one's own behavioral style to interact successfully with faculty, staff and students (at all levels) in a fast-paced environment, sometimes under pressure, and respond to their needs with a high level of professionalism.
Excellent customer service skills and communication skills, both written and verbal.
Service-orientated communicator who is a true team player actively invested in the mission of the Shared Business Services Hub and insuring its goals are met.
Demonstrated accounting, analytical, and problem-solving skills; strong organizational skills and the ability to work independently.
Ability to manage and prioritize multiple tasks and deadlines while maintaining a high level of attention to detail; ability to manage high volume workload efficiently.
Ability to exercise judgment and take corrective action.
Ability to handle confidential information responsibly.
High school diploma or equivalent high school certification and three to five years of payroll and/or accounting experience.
Proficient user of Microsoft Office, and a strong knowledge of Excel.
$21.60 - $33.45 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
