The HR Office Coordinator is responsible for performing administrative duties in order to support all the stages of the employment life-cycle. This position will focus on providing support in a number of Human Resource functions which include recruitment, benefit administration, HRIS/payroll support, compliance, HR employee records and reporting. This position will also be responsible to perform general office duties which include but are not limited to: answering phones, responding to emails, greeting visitors. The HR Office Coordinator will be an integral part in sustaining effective and efficient operations of the College's Human Resource department.
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS
Serves as the initial point of contact for all questions and inquiries made to the Human Resource department. This includes answering frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc. Must use independent and creative thinking skills to identify more complex questions and refer to appropriate senior-level HR staff or management.
Manages the Human Resources email account on a daily basis by responding to email inquiries or referring complex questions to appropriate senior-level HR staff or management.
Responsible for providing administrative support to the Human Resource department which includes general office support.
Responsible for maintaining confidential, accurate and up-to-date human resource personnel files, records, and documentation which includes ensuring that all I-9 documents are accurately maintained and complete in accordance with federal regulations.
Performs periodic audits of HR files and other related records to ensure that all required data documents are collected, stored, archived and destroyed appropriately to ensure that HR compliance is maintained.
Performs all Human Resource transactional duties which include HRIS system entries, Benefit system entries, and completing payroll action and change of status forms while maintaining accurate recordkeeping within appropriate processing deadlines.
Updates Human Resource webpage at the direction of senior-level HR staff.
Provides other HR systems support by assigning/monitoring Title IX/NYS Sexual Harassment training as well as prepare completion reports by division.
Supports the recruitment function for all non-exempt and exempt positions by posting job openings (both internally and externally), schedule and coordinate interviews, manage recruitment system access, assigns/monitors and tracks diversity training of committee members, conduct background checks, tracking open positions all at the direction of senior-level HR staff.
Assist in scheduling onboarding and orientation of new staff.
Prepare and maintain HR materials such as new hire packets, employee handbook, general HR forms
Supports benefit administration by providing the third party benefit administrator with new hire employee elections and supporting the benefit open enrollment process by processing employee election forms to ensure proper benefit deduction and payroll records.
Supports benefit operations by processing benefit invoices payments.
Provides support with the annual performance assessment process by reviewing and tracking incoming performance appraisals forms.
Updates the college's organizational charts to reflect reporting structure changes.
Assists with planning and execution of special events such as benefits open enrollment, college-wide meetings, employee recognition events, health/wellness events, holiday parties, retirement celebrations and commencement.
Distributes finalized monthly HR newsletter and quarterly wellness letter.
Assists the Sr. Director of Human Resources Operations with special projects as needed.
Performs other duties as assigned.

Associate degree or equivalent combination of education and experience required. Bachelor's degree is preferred.
0-2 years of Human Resource experience preferred.
Minimum of 1-3 years of office experience preferred.
