Duties and Responsibilities
Support Director of Human Resources with calendar management and day-to-day office functioning.
Complete administrative tasks with regard to recruitment including coordinating prescreening/zoom calls with candidates, setting up interviews and schedules for hiring teams, posting new jobs on Paycom, coordinating reference calls, sending communications to candidates.
Assist with onboarding of new hires, sending offer letters and tracking receipts, running background checks, sending welcome emails, registering new hires for online training, etc.
Manage process (with part time and temp employees) to scan paper personnel and HR files and upload to electronically backed up files on Sharepoint.
Serve as the bridge between Payroll and Human Resources and be the first point of contact for the Paycom system. This includes resetting passwords, entering and updating information, generating and analyzing reports, sending communications through Paycom, etc.
Annual review of data reports from various systems (Paycom, Blackbaud, Directory, etc) and identifying inconsistencies/errors and bringing them to the attention of the Director of HR for correction.
Setup individual Paycom training (or direct them to pre-recorded webinars) for new hiring managers and supervisors with regard to the applicant tracking system & the administrative side of Paycom.
Organize, add content, and update the Human Resources Sharepoint site and give rights to those that require such. (i.e. job descriptions, HR communications.
Work with the communications team to update HR related content on sites like The Windward School’s general website, myWindward portal, social media pages, etc.
Assist with the coordination of HR related employee engagement events (i.e. staff retreats, health fairs, holiday events, retirement parties, lunch and learns, etc)
Respond to all email@example.com email requests (fielding general questions from faculty/staff regarding PTO, bereavement, policy clarification, FMLA questions, etc) - Serve as initial point of contact and distribute requests to HR team members in Asana.
Revamp and maintain HR communication boards at all 3 campuses ensuring that all up to date legal information is posted.
Develop reminder emails or “did you knows” about new developments with regard to employee discounts, health benefits, 403 b, etc; engaging employees and getting people excited about Windward’s benefit’s package
Manage department PO’s, reimbursements and expense reports for the HR Director.
And any additional duties as needed by the Human Resources Department.
Bachelor’s degree a must
2 – 3 years of human resources experience; experience with payroll & applicant tracking software a plus
Proficient in Microsoft Office Suite (outlook, word, excel, powerpoint); intermediate Excel skills required. Pre-employment assessment will be provided to test skills.
Excellent attention to detail and positive, approachable attitude
