The Assistant Director of Human Resources will support all day-to-day activities of the HR office, to include serving as the office manager, handling all administrative responsibilities within the office, coordinating personnel matters for new employees, managing payroll, and handling special events that help with employee engagement and morale. This position must provide exemplary customer service throughout Army West Point Athletic Association (AWPAA). This position will report directly to the Director of Human Resources.
Primary Duties and Responsibilities:
-Database Management (e.g., ADP Workforce Now) ensuring all employee data is accurate. Including but not limited to: titles, addresses, payroll, contact information, reporting lines, etc.
-Maintain all information for employees within TeamWorks to allow for accurate dissemination of department-wide communication. Including but not limited to: adding new hires, removing departing employees, periodic spot checks for accurate emails and cell phones, etc.
-Create and maintain all employee personnel files both electronically and paper. Files must be contemporaneously up-to-date and include all documentation required for Federal, State and Department compliance.
-Will serve as the primary Point of Contact (POC) for all Audits and Reporting required or requested of the HR office; both external and internal.
-Coordinate annual Benefits Open Enrollment process and serve as the subject matter expert for all employee day-to-day inquiries.
-Create, Maintain and Update the 12-month master calendar and task list for the HR Office. Coordinate all agendas, PowerPoints, and newsletters for HR Staff meetings, trainings, and department-wide communication.
-Responsible for identifying efficiencies and effectiveness of HR Office operations. Including but limited to creating forms/tracking grids, writing standard operating procedures (SOP) and maximizing technology.
-Monitor, Track and Communicate the completion of all requirements to efficiently on-board employees.
-Coordinate and execute the first 72-hours of each new employee arrival to AWPAA
-According to payroll deadlines, coordinate and summarize all documentation for bi-monthly and monthly payroll that is reviewed by the Director of HR and the AWPAA Business Office
-Coordinate and assist with special department events throughout the year that assist with employee morale and engagement.
-Coordinate department wide initiatives for general employee morale and engagement.
Basic knowledge of New York State and Federal leave programs, I9 compliance, and with full cycle recruitment.
Proven knowledge of HR software (e.g. ADP Workforce Now).
Experience using Adobe Acrobat.
Exceptional customer service skills.
A strong work ethic with excellent attention to detail.
The ability to manage multiple tasks and deadlines, change direction quickly and prioritize tasks based on the needs of the organization.
