PURPOSE : The HR Coordinator manages all the administration activity to support to the EMEA HR function and be the first line of support to employees on HR questions on policy issues and processes. This role leads the maintenance, administration and updates of all EMEA employee lifecycle processes , learning and development, reporting and systems.
PRINCIPAL RESPONSIBILITIES :
In partnership with the HRBP's - EMEA, acts as the face of HR, a liaison with employees and vendors on HR matters.
Provides guidance, direction and advice to employees at all levels regarding HR policies and procedures, providing feedback and suggestions in a manner which delivers a positive employee experience.
Creation, organization and maintenance of electronic employee files.
Support HR transformation activities (e.g. process re-design, systems testing) and contribute to the development of HR services and solutions by collaborating with Centers of Expertise as required.
Answering ad-hoc benefit queries and supporting ad-hoc benefit administration. .
Manages and gathers data and information for all vendor due diligence requests.
Processes EMEA payroll in particular recording compensation updates on the international payroll log and communicating compensation changes to the MFS Payroll department (local salary changes, new hires, transfers and terminations). Calculates and communicates to payroll the taxable benefits amounts per employee. .
Supports local talent acquisition activities; interview scheduling, tracking candidates and managing WorkDay processing. Liaising with candidates to gather required paperwork, including offer letters, payroll documentation, application forms etc.
Manages on-boarding of all new hires, to include, overseeing the processing of reference checks by external vendor including Criminal Records Bureau checks where required, and leading orientation sessions. Develops, maintains and reviews orientation materials and ensure all visas and work permits are checked or applied for where needed.
Partner with Compliance regarding regulatory requirements.
Manage termination process for leavers and guide managers through the resignation process. Ensures that all activity is completed such as production of leaver paperwork, cancelling benefits, removal from payroll, providing references and Workday processing. Assists the HRBP - EMEA with any additional logistics relating to terminations.
Supports any regional Talent & Development/Organizational Development initiatives. by providing a coordination approach, in partnership with the Senior TD/OD Consultants. Supports the communication of the regional L&D offerings and priorities, and helps with registration and tracking of external training.
Provides administrative support to the HRBP - EMEA with employee relations issues (e.g. performance management, disciplinary hearings, redundancy consultations, occupational health referrals), by taking minutes in meetings, drafting letters and documents as required etc.
The management of the flexible working process and applications, maternity/paternity/shared parental leave requests and processes.
Supports the EMEA HR team with events (D&I, wellbeing etc) by drafting communication's, sending out invitations, tracking registrations, managing logistics, ordering food & drink and any other additional support as required.
General diary management for team meetings (London and Regional).
Manage production of HR metrics for quarterly Senior Management and Executive Committee meetings. Responsible for all ad-hoc reporting requirements.
Be a culture ambassador and promoter of our company values and beliefs. Collaborating across a variety of stakeholders at all levels, resulting in strong and positive outcomes.
Performs additional support to the HRBP as requested.
JOB REQUIREMENTS :
Bachelor's degree or equivalent desirable.
Previous experience working with EMEA HR is preferred.
Broad understanding of all HR functional areas and interdependencies amongst the functions.
Operational excellence capabilities: process improvement mindset and experience in providing HR service to employees and managers in various capacities.
Proactive approach and an independent problem solver who presents solutions and takes initiative.
Superb organizational follow up skills and attention to detail; ability to prioritize and process a high volume of work for multiple team members whilst maintaining the highest quality.
Strong ability to multi-task in a fast paced, deadline oriented and high demanding environment.
Demonstrated proficiency with MS Excel, Word, Powerpoint and comfortable in pulling data/metrics for meetings is required.
Open minded, strong team spirit and collaborative.
Ability to handle information in a manner which protects confidentiality.
Language skills desired but not required.
