Reporting to the Associate Dean, the Human Resources Coordinator will be an integral member our Faculty & Human Resources team. S/He will support all employees at Columbia University's Mailman School of Public Health, providing exceptional customer service to faculty, staff and all University constituents.
Specific responsibilities will include:
Assisting in the recruiting process for staff roles, including posting positions in the TalentLink system, reviewing resumes, conducting phone screens, updating applicant statuses, and completing hiring proposals;
Serving as the initial point of contact for new employees including sending email correspondence, managing the entire casual recruitment process; handling pre-employment screenings, obtaining on-boarding forms, and escorting hires to obtain IDs and complete I-9s;
Processing new hires in the People@Columbia (PAC) system, monitoring to ensure employees post timely, and notifying the HR team of any delays;
On-boarding all part-time faculty (paid and unpaid) each semester including obtaining NY-195 forms and other relevant documentation;
Processing payroll for casuals, NUSS, and temporary employees, including calculating hours accrued in compliance with the New York City Sick Leave Act, and assisting employees with payroll-related questions;
Monitoring the monthly submissions of paid time-off tracking documents to ensure completion and accuracy;
Maintaining accurate personnel records for faculty and staff, including scanning and uploading documents to our shared drives;
Updating the HR & Faculty Affairs pages on our School intranet, including new hire welcomes and profiles, policies & procedures, training curriculums, etc.;
Assisting with the execution of HR-sponsored events for faculty and staff
Organizing the flow of termination functions, including completing relevant forms, retrieving IDs, and updating internal tracking documents;
Delivering paper documents to central Columbia University Irving Medical Center (CUIMC) including Human Resources, Faculty Affairs and Payroll;
Assisting with HR report requests, data reviews and payroll reconciliations to ensure accurate information;
Updating internal tracking documents including on-boarding tasks, termination checklists, new hire forms, etc.;
Requires a bachelor's degree or equivalent in education and experience plus three (3) years of related experience.
The Human Resources Coordinator will have excellent communication skills, both oral and written, with the ability to support all levels of faculty and staff. The successful incumbent will have a meticulous attention to detail, superb organizational skills, and strong computer skills, particularly in Microsoft Excel. S/He must be able to maintain a high degree of confidentiality in handling sensitive employee records and payroll information. Ability to interact effectively with individuals at different levels, as well as the ability to work in a highly visible fast paced environment all under the aegis of confidentiality
Must be able to identify and respond to organizational needs, analyze problems and identify solutions
Prior experience and/or interest in working on a Human Resources team is strongly desired for this role. Experience in processing time sheets and/or payroll records is also preferred.
