This subject matter lead role serves as the primary point of contact between the Leaves of Absence vendor and departments regarding leaves of absence including Short Term Disability, Long Term Disability, FMLA. Responsible for payroll policies and procedures and for audit and input of time entries from web clock leave records, leave balances, leave adjustments, queries and reporting from vendor database(s). Additionally, this role may be responsible for training and mentoring other team members and may be assigned complex non-routine issues and/or projects. May require a high level of expertise in one or more specific subject matter area(s) and/or university culture and business practices.
PRIMARY DUTIES AND RESPONSIBILITIES:
Serves as a leaves liaison between leaves vendor, benefits, payroll, and departments’ regarding policies and procedures. Provides appropriate support and timely follow up on all questions or situations. Answers phone calls and emails regarding leaves. Communicates with employees as needed.
Reviews vendor database transactions for intermittent FMLA leave to ensure consistency with University compensation policy. Assists departments and benefits team with leave coordination and auditing. Conducts analysis and resolves issues. Identifies situations that need intervention and follows up with department and/or other teams within HR (e.g. benefits, employee relations).
Updates the employee’s absence calendar and audit all bi-weekly and monthly employees STMD time off dates reported by the third party administrator.
Coordinates top-up payments and adjustments with the University's payroll team. Responds to departmental questions related to all transactions. Directs internal customers to additional resources, including documented information, reference materials and self-service tools. Provides backup support and assistance as needed to manager.
Monitors payroll and leave transaction work flow and business processes and assists in correcting or resolving time tracking and leave issues. Audits and approves monthly and biweekly time and leave documents for accuracy and timeliness. Reviews all time tracking and pay entries to ensure pay compliance. Works to ensure overall compliance with various regulatory requirements when approving leave transactions in payroll system.
Performs other duties as assigned.
High school diploma or equivalent high school certification.
Three years of experience in leaves of absence and payroll.
Working knowledge of leaves of absence payroll, and other HR systems (Workday preferred).
Proficiency in web navigation, as well as in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Ability to work in a fast-paced environment and easily adapt to fluctuating workloads and customer needs.
Skilled in understanding and applying applicable rules, regulations, policies, and procedures.
Superior written and verbal communication skills.
Prior experience in a large complex environment.
Previous experience in an HR Service Center environment is strongly preferred.
Knowledge of computerized systems and/or payroll software with the ability to use routine office equipment, including the calculator and computer.
Demonstrated effective verbal, written and interpersonal communication/organizational skills.
High attention to detail and effective math skills.
Ability to work independently and use discretionary judgment.
Ability to handle confidential information and materials.
Demonstrated knowledge of University policies and practices.
Basic FLSA regulations and employment law understanding.
The hiring range for this position is $23.07 - $29.42 per hour.
