Position Summary Reporting to the Senior Associate Director of Human Resources and Talent Management, the Assistant Director is responsible for managing a core suite of human resource services as part of the Human Resources and Talent Management Team. Additionally, the Assistant Director works closely with the SR Associate Director in developing, implementing and evaluating ongoing HR policies, functions and activities to meet departmental goals and initiatives. Serving as a primary contact, the incumbent will be responsible for ensuring the highest level of service to all employees in the Office of Alumni & Development (OAD) Community and execute timely resolution of all HR related issues and requests with professionalism and precision. This includes handling recruitment, employee orientation, position descriptions, performance management, employee relations, payroll management, leave management and implementing and taking the lead on the use of new and existing technology platforms, as well as handling other functions that support the employee life cycle and HR initiatives.
Responsibilities Job Responsibilities include, but are not limited to the following: - Primary contact for OAD staff in the facilitation and delivery of HR services.
- Develop, prepare, generate and analyze ongoing and ad-hoc special reports pertaining to employee personnel information and data, including issues such as benefits costs, staffing levels, turnover, absenteeism, recruitment, applicant tracking, compensation, payroll, promotions, etc. Effectively utilize the data processing platforms (i.e., PAC and Salesforce) analyze pertinent data and recommend solutions and/or process changes.
- Responsible for HR data collection using various technology platforms to include auditing to ensure data integrity to prepare analytical reports that inform the financial implications in human resources management.
- Develops, updates and distributes an array of reports and products for the annual Performance Management Process in collaboration with the HR Team and Deputy Vice President of Administration.
- Serves as the main and technical point of contact for various HR systems including the Planning and Performance Tool to include training and provide user support in a timely and professional manner.
- Manages recruitment data and reporting which includes the production and distribution of the Open Positions Reports, job posting, screening resumes to assist in recruiting and hiring Officers, Support Staff, Temporary Employees, Casual and Student Workers.
- Works with internal and external departments to promptly resolve customer service issues in a professional and timely manner and in accordance with the departments Core Values.
- Serves as a resource for OAD staff providing guidance and assistance with questions related to the HR employee life cycle, including handling benefits, disability services and leave management inquiries and requests.
- Creates, maintains and updates distributions lists relative to the Alumni and Development community.
- Manages time and attendance records for Officers and Support Staff to ensure accurate and timely payroll processing for employees using TLAM.
- Review and recommend updates to job descriptions to ensure cost effectiveness, market competitiveness and internal equity among employees to submit to Central HR for approval.
- Conducts New Hire Orientation sessions and initial onboarding for newly hired or transferred employees.
- Manages and maintains the building floor plan and serve as a thought partner for any staffing moves in the building as well as process move requests in Salesforce.
- Produces and distributes the Human Resources and Talent Management Newsletter.
- Initiate personnel actions and electronic transactions to support payroll activities, additional compensation and other transactions in support of personnel management.
- Active participant, manager and moderator in the department's social business platform: LionsDen.
- Assist with employee/labor relations issues and other generalist duties as needed.
- Maintain and expand knowledge and understanding of existing and proposed federal and state laws/regulations affecting human resource management. Identify trends that could affect organizational objectives and/or operational resources. Interpret appropriate laws and policies and advise management, and employees accordingly.
- Handles other HR projects as assigned.
Minimum Qualifications Bachelor's degree and/or its equivalent required. Minimum three to five years related experience required. Excellent analytical skills required, as well as exceptional computer proficiency required (Microsoft Office, Salesforce, PeopleSoft applications), with a desire to learn, problem solve and troubleshoot technical issues. Advanced skills in Excel required. Attention to detail, ability to handle and prioritize multiple tasks and work well under deadlines required.
Preferred Qualifications - Excellent knowledge of databases desirable.
