We are seeking a temporary HR Coordinator to join our Office of Human Resources. Under general direction, the HR Coordinator supports the administrative operations and activities of the Office of Human Resources, Compensation and Talent Acquisition departments. This includes, but is not limited to job code and position number administration, job description database maintenance, communications (written and verbal) with internal and external parties, independent contractor questionnaire administration and administrative activities in support of staff and temporary hiring
*This position will be a combination of on-site and remote work based out of the Evanston office.
Hourly rate: $20.00/hour
Schedule: Monday through Friday at 40 hours per week
Creates job codes and position numbers in myHR, and administers changes to both as directed
Maintains job descriptions and Compensation’s job description library
Ensures the accuracy of base pay change amounts in myHR for existing staff resulting from job reclassification, transfer, promotion, etc.
Acts as inquiring point on compensation amounts for new hires, and changes for existing staff resulting from job reclassification, transfer, location change, promotion, etc.
Maintains compensation records in myHR including employee data, pay changes, job code changes, and position number changes
Assists in the coordination, administration, and implementation of the annual salary planning (merit) process
Supports the Compensation Team in the production of metrics and reports
Reviews Independent Contractor Questionnaires, maintains a database, and provides status updates and responses to requestors
Participates in process improvement initiatives
Assists team members with projects
Supports the documentation of client requests from the team inbox
Compiles invoices from external vendors and monitors expenses relative to departmental budget
Talent Acquisition Support:
Support the coordination and monitor compliance of end to end hiring activities.
Research job posting options and post jobs internal and externally, ensuring quality control of information displayed and brand image.
Manage the onboarding paperwork, including offer letter generation, references and pre-employment screening.
Utilize Excel and myHR queries to run weekly and bi-weekly hiring reports
Complete and process unemployment claims for former temporary employees.
Support administrative activities such as managing shared mailboxes, reporting, meeting support, printing documentation, etc., as needed.
Serve as a resource guide for Talent Acquisition Partners, hiring managers, temporary employees, and prospective candidates (e.g. system issues, timekeeping, payroll, etc.)
Assist with processing invoices, supply orders (office supplies and recruitment collateral), expense reports, etc.
required knowledge, skills, and abilities:
A high school diploma or equivalent required
3-5 years of administrative support and/preferably with experience working within HR administration
Moderate skill with Microsoft Office Suite
Demonstrated strong oral and written communication skills, with attention to detail
Ability to demonstrate a calm, courteous and professional demeanor under pressure when working with a variety of situations and/or people
Willingness to take initiative while understanding when to seek counsel from team members
