Job Description Summary *This is a full-time (35 hours per week) temporary employment opportunity with the potential to convert to permanent.*
Provide administrative support to the Human Resources office. Responsible for the efficient and effective flow of business operations for a busy department. Supervise student workers to carry-out administrative duties.
Essential Duties
Handle administrative duties and reception for the Human Resources department; including triaging employee questions/issues, managing projects, coordinating meetings, preparing presentation materials, processing department invoices/purchase orders and filing. Specific duties include:
- Shepherding the new hire onboarding process in Workday to include approving tasks, E-Verify submission for I-9 processing, ID creation, and internal notifications for new hire set-up
- Sending onboarding account set up information to the department key users and managers
- Coordinating mailing of documents such as immigration forms, etc.
- Processing department invoices and purchase orders in Workday
- Providing administrative support and calendar management for the Vice President of Human Resources as requested
- Responding to all employment verification requests
- Ensuring HR website is up-to-date, and content is refreshed and presented in a consistent format
- Scheduling exit interviews and preparing termination materials
- Scheduling and coordinating HR meetings
- Ordering office supplies and managing inventory
- Assisting with Workday audits and tasks
- Ensuring HR events are input/updated on University Calendar
- Playing a key role with HR projects like the Service Award and Founder's Day Award programs
- Assisting with development and delivery of HR communications
- Scheduling, training, and supervising student workers
- Handling ad-hoc administrative tasks and projects
In addition, this role will provide administrative support within functional areas to include the following:
Recruiting
- Scheduling phone screens and interviews
- Preparing new hire kits and candidate benefit folders
- Using Workday to help applicants check on the status of their application
- Submit and monitor background checks for completion
Learning & Development
- Coordinating logistics for training sessions including registration, tracking, and, if necessary, catering and room set-up.
- Coordinating supporting resources for L&D programs
Compensation
- Managing administrative tasks associated with recognition programs including spreadsheet entry, approving requests, ordering gift cards and tracking the program's budget
- Processing unemployment claims

- Working with the Benefits Specialist to plan and coordinate benefit and wellness events
- Schedule and coordinate logistics for benefits orientation and open enrollment
Minimum Qualifications
- High School Diploma required, Associate's or Bachelor's preferred
- 2-3 years of administrative support experience in a fast-paced environment. HR experience preferred.
- Excellent interpersonal and relationship management skills, organizational skills, problem-solving ability and ability to multi-task and deal with competing priorities.
- Self-directed individual with a high degree of discretion due to the confidential nature of HR communications.
- Demonstrated professional demeanor as well as a commitment to customer service.
- Ability to effectively function as a member of a team and interact with all levels of professional, administrative and functional staff.
- MS Office (Word, Outlook, PowerPoint, Excel) technical skills, Workday experience highly desirable
Work Environment
Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing. Frequent use of eye, hand and finger coordination enabling use of office machinery. Solid keyboard skills are necessary.
